Job Description

Position Title: DOCUMENT SCANNING TECHNICIAN

DOCUMENT SCANNING TECHNICIAN

Grade: 4 Shift Available: Full - Time (Non-Exempt) (40HRS)

Summary of Job Functions:

1. Ensures that digital records are securely stored and correctly classified within the county’s electronic document management system, in compliance with county retention schedules and Pennsylvania Historical and Museum Commission (PHMC) guidelines.
2. Works with sensitive and confidential documents from various county departments and offices
3. Prepares paper records for scanning by removing staples, paper clips, and bindings.
4. Organizes and sorts records based on retention schedules and indexing requirements.
5. Operates high-speed scanners and associated software to capture digital images of documents.
6. Indexes scanned images with accurate metadata (e.g., case number, parcel ID, document type, date).
7. Performs quality control checks to ensure images are clear, complete, and properly indexed.
8. Identifies records that are damaged or unsuitable for scanning and escalate as needed.
9. Follows privacy, confidentiality, and records management policies, including HIPAA or CJIS if applicable.
10. Assists with uploading, filing, or archiving digital records into the county’s document management system.
11. May assist with the destruction of original documents after digitization and retention approval.
12. Supports other records management tasks such as inventorying, labeling, or retrieving documents.
13. Receives files, papers, and boxes from all county offices via interoffice mail.
14. Retrieves files and boxes from storage. Sorts, packs, and addresses records and send to all County offices via interoffice mail.
15. Attends meetings and trainings as required.
16. Performs other job-related duties as assigned.

Minimum Training and Experience:

High school diploma or equivalent. Six to twelve (6-12) months working experience in clerical assignments. Use of Microsoft Office Suite (especially Outlook, Excel, and Word).
