Position Summary
The Fleet Manager is responsible for overseeing all transportation fleet operations, driver management, equipment administration, and regulatory compliance activities to ensure safe, efficient, and cost-effective transportation services. This role manages driver hiring, training, scheduling, fleet maintenance coordination, fuel management, and DOT compliance while supporting company safety initiatives and operational objectives.

The Fleet Manager serves as the primary point of contact for drivers and fleet-related operations, ensuring vehicles, equipment, and personnel meet company standards, regulatory requirements, and customer service expectations.

Essential Functions

Fleet Operations & Driver Management

  • Interview, hire, onboard, and train new drivers.
  • Develop and manage driver schedules to ensure adequate staffing and efficient route coverage.
  • Provide ongoing coaching, performance management, and support to drivers.
  • Conduct regular driver evaluations and address performance concerns as needed.
  • Lead monthly driver safety meetings and training sessions to reinforce company policies and safe driving practices.

DOT Compliance & Safety

  • Manage driver qualification files and DOT compliance programs in partnership with third-party compliance providers, including J.J. Keller.
  • Ensure compliance with FMCSA, DOT, and company safety regulations.
  • Monitor driver records, medical certifications, training requirements, and regulatory deadlines.
  • Investigate accidents, incidents, and safety violations and implement corrective actions.
  • Maintain accurate fleet and driver compliance documentation.

Fleet Asset Management

  • Maintain inventory records for all company vehicles, trailers, and transportation equipment.
  • Coordinate preventive maintenance, repairs, inspections, and vendor services to maximize fleet uptime.
  • Manage vehicle registrations, licensing, insurance policies, permits, and E-470 toll accounts.
  • Monitor vehicle utilization and recommend replacement or acquisition strategies when necessary.
  • Oversee GPS tracking and dash camera systems, ensuring compliance with company policies and addressing exceptions.

Fuel & Cost Management

  • Administer company fuel card programs and monitor fuel purchases for policy compliance.
  • Analyze fuel usage trends and identify opportunities for cost savings andefficiency improvements.
  • Review fleet-related expenses and assist in managing transportation operating budgets.

Reporting & Continuous Improvement

  • Track and report key fleet performance metrics, including safety incidents, fuel consumption, maintenance costs, and vehicle utilization.
  • Identify to improve fleet efficiency, driver performance, and operational effectiveness.
  • Develop and implement policies, procedures, and best practices to support continuous improvement initiatives.

Safety & Warehouse Equipment Support

  • Support facility safety programs and initiatives, including collaboration with operations leadership and safety teams.
  • Assist with forklift operator certifications, recertifications, and training documentation.
  • Support maintenance scheduling and management of forklifts, pallet jacks, and other material handling equipment.
  • Provide backup support for warehouse equipment management and safety compliance activities as needed.

Other Duties

  • Perform additional responsibilities and special projects as assigned.

Requirements: Position Requirements
  • High school diploma or GED required; associate or bachelor’s degree preferred.
  • A minimum of 3 years of fleet management, transportation operations, logistics, or related experience.
  • Experience supervising drivers and transportation personnel.
  • Knowledge of DOT/FMCSA regulations and transportation compliance requirements.
  • Experience with GPS fleet management systems, fuel card programs, and transportation software preferred.
  • Maintain regular, consistent attendance & punctuality. Must have a flexible schedule that may require occasional nights, weekends, and holidays.

Knowledge, Skills & Abilities

  • Strong leadership and employee development skills.
  • Excellent organizational and scheduling abilities.
  • Strong understanding of fleet maintenance practices and transportation operations.
  • Ability to interpret and apply DOT and safety regulations.
  • Effective communication and conflict-resolution skills.
  • Proficient with Microsoft Office and fleet management software.
  • Strong problem-solving and analytical abilities.

Working Conditions

  • Combination of office, warehouse, and outdoor work environments.
  • Frequent interaction with drivers, vendors, maintenance providers, and operations personnel.
  • Ability to occasionally lift up to 50 pounds.
  • Availability for occasional early morning, evening, weekend, or emergency fleet support.

Position Closing Date: Compensation Range: $80,000 – $95,000 annually

Compensation is based on the level of experience, other relevant experience, and requirements of the position. The range provided serves only as a guideline and does not automatically qualify all candidates (internal or external) for the high end of the range.
