Volunteer Coordinator

The Volunteer Coordinator supports the daily operations of River Bend Food Bank’s volunteer program by coordinating volunteer schedules, communications, shift logistics, on-site support, volunteer drivers, and special event needs across multiple locations.

This position ensures volunteer activities are organized, well-communicated, and aligned with operational needs while helping create a positive, efficient, and mission-centered volunteer experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Volunteer Scheduling and Coordination

• Maintain daily volunteer schedules to ensure adequate coverage for programs, warehouse shifts, food distributions, special events, and other volunteer-supported activities.
• Coordinate volunteer sign-ups, assignments, shift logistics and role placement across multiple locations and volunteer opportunities.
• Manage routine volunteer communications, including confirmations, reminders, updates, follow-up messages, and schedule changes.
• Accurately track volunteer hours and maintain up-to-date volunteer records within the volunteer database.
• Help ensure volunteers receive clear information before, during, and after their shifts.

On-Site Volunteer Support

• Provide on-site, day-of volunteer supervision, including task assignment, guidance, problem-solving, and support.
• Help create a welcoming, organized, and mission-centered experience for volunteers.
• Prepare and organize workspaces to ensure readiness for volunteer shifts and smooth operations.
• Communicate with Operations staff to understand daily needs and adjust volunteer assignments as needed.
• Identify and communicate volunteer-related issues, gaps, or opportunities for improvement.

Volunteer Driver and Delivery Coordination

• Schedule and coordinate food deliveries for volunteer drivers, ensuring timely and accurate distribution.
• Coordinate volunteer driver assignments, routes, communication, and logistics to meet delivery needs.
• Work with Operations staff to ensure volunteer driver activities are efficient, accurate, and safe.
• Maintain communication with volunteer drivers and troubleshoot scheduling or delivery issues as they arise.

Special Events and Cross Department Support

• Work with Operations and Development to support All Hands on Deck events, including volunteer logistics, preparation, communication, and day-of coordination.
• Support corporate volunteer groups, donor engagement activities, and other special volunteer opportunities as assigned.
• Provide volunteer coordination support for community-facing activities, food distributions, and special initiatives.
• Serve as a backup for NorthPark and SouthPark Food Pantry locations as needed.

Volunteer Program Administration

• Maintain accurate volunteer records, schedules, communications, and related documentation.
• Support volunteer onboarding, orientation, and training processes.
• Assist with maintaining volunteer procedures, instructions, and role descriptions.
• Provide administrative support for the volunteer program as directed by the Community Food Access & Volunteer Engagement Manager.
• Share feedback, trends, and observations to help improve volunteer engagement and daily volunteer operations.

QUALIFICATIONS

• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Experience in volunteer coordination, customer service, scheduling, nonprofit programs, logistics, or administrative support preferred.
• Strong organizational skills and attention to detail.
• Ability to communicate clearly and professionally with volunteers, staff, community partners, and donors.
• Ability to manage multiple schedules, priorities, and shifting daily needs.
• Comfort working in warehouse, pantry, event, and office settings.
• Ability to work independently while also collaborating closely with staff across departments.
• Proficiency in Microsoft Office, including Outlook, Word, and Excel.
• Willingness to support the mission of the organization and help end hunger in our area.
• Ability to work flexible hours, as needed, occasionally outside of regular business hours for volunteer activities, special events, and food distributions.
• Possession of a valid driver’s license and insurable driving record.
• Ability to successfully complete a pre-employment criminal background investigation and credit check.
