About This Position
JOB SUMMARY
The Quality Specialist plays a key role in supporting WhidbeyHealth’s mission of delivering high-quality healthcare by assisting the Executive Director of Quality and Compliance with a variety of clerical and administrative tasks. This position works closely with the Quality & Transformation Department to ensure efficient operations and compliance with quality standards.
PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:
- Provide excellent customer service when answering phones and greeting visitors.
- Point of Contact: Serve as a liaison for internal and external customers.
- Detail-Oriented & Deadline-Driven: Manage tasks efficiently while meeting schedules and deadlines.
- Meeting Support:
- Take detailed minutes as assigned by the Executive Director of Quality and Compliance.
- Schedule appointments and meetings for the Executive Director.
- Administrative Support:
- Assist in maintaining schedules and documentation for the Executive Director.
- Supply Management: Order and manage supplies as needed.
- Environment of Care Rounding: Participate in facility safety and compliance rounding.
- Report Preparation: Assist in preparing regularly scheduled reports as assigned.
- Accreditation & Compliance Support: Provide support during accreditation reviews, mock surveys, and internal audits.
OTHER SKILLS & ABILITIES
- Technical Proficiency:
- Working knowledge of office equipment (computers, printers, phones, fax machines).
- Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Strong ability to manipulate and analyze spreadsheets in Excel.
- Communication & Customer Service:
- Clear, professional, and personable communication with internal and external customers.
- Strong oral and written communication skills.
- Ability to establish and maintain positive relationships with colleagues and stakeholders.
- Self-Motivation & Initiative:
- A motivated self-starter who takes independent action when needed.

JOB KNOWLEDGE & QUALIFICATIONS
Education
Highest level of education completed, minimum high school diploma or equivalent required.
Training and Experience
- At least one year experience as an Assistant or Secretary.
- Basic knowledge of healthcare related concepts such as HIPAA, accreditation, compliance, and standardization.
Certificates, Licenses, Registrations
- Microsoft Office preferred
