About This Position

POSITION PURPOSE: Manages the reception desk and waiting area. Assures that adequate communication with residents and guests is maintained at all times. Mindful of the well-being and security of our residents.

Resident Rights

  • Understands and adheres to Resident Rights at all times.
  • Maintains the confidentiality of all resident care information.
  • Reports all allegations of resident abuse and/or misappropriation of resident property.
  • Respects privacy of residents; including those as prescribed by HIPAA.

Customer Service

  • Responds with respect, patience, compassion, and helpfulness to residents, visitors, and staff at all times.
  • Maintains a respectful and pleasing tone of voice at all times.
  • Never raises voice in anger, frustration, or shouts to communicate with someone inside or outside building.

Conduct & Professionalism

  • Attendance & Tardiness: Consistently reports to work as scheduled and properly notifies supervisor when unable to do so.
  • Maintains a professional appearance by adhering to dress code as prescribed by supervisor and SSL standards.
  • Maintains an orderly work area.
  • Maintains positive working relationships with all employees within department and among departments. Sets aside individual differences for the sake of the residents.
  • Responds appropriately to constructive criticism or corrective action administered by supervisory personnel with SSL.
  • Responds constructively to changes and/or problems which may arise on the job to ensure that stress is dealt with effectively.
  • Respects the building, grounds, and equipment of SSL and personal property of residents and visitors.

Safety & Sanitation

  • Remains alert at all times, assuring that SSL and its residents are safe and secure at all times.
  • Actively participates in the SSL Safety Program by direct service on the Safety Committee, or by observing and reporting unsafe conditions to supervisor and by performing all assigned duties with proper body mechanics.
  • Attends In-Service sessions as required by organization and supervisor.
  • Remains task oriented while on the job, with no allowance for horseplay or otherwise distracting oneself or others from the important task(s) of caring for residents.

Primary Job Duties

  • Serves as telephone operator, receiving business and residential calls and routing them appropriately or taking messages when needed
  • Serves as a watch-guard for wandering residents so that they do not exit the building
  • Serves as a central information center for residents and their families, providing information about the community or pertaining to personal needs/interests expressed
  • Provides active listening with residents to offer support and identify concerns or problems, which need to be referred to another department
  • Maintains the visitor sign-in logs and the resident sign-out sheets
  • Maintains an up-to-date Resident Directory, to reflect resident status (room number, level of care, out on pass, etc.)
  • Sorts and distributes business and residential mail in a timely and accurate manner. This includes metering and packaging outgoing mail as well
  • Notifies appropriate person when postage needs to be replenished
  • Manages the Guest Stay and Guest Meal programs to assure that proper communication occurs between the reception desk and the Dining
  • Services and/or Environmental Services Depts
  • Keeps track of all incoming admissions to assist them in adjusting to the community's routines and services
  • Distributes facility brochures to walk-ins, providing information as needed
  • Schedule appointments for residents with in-house physicians and complete necessary paperwork
  • Run daily IL resident Check-In report and call any residents who don't push the check-in button. Notify maintenance to check on any IL residents who don't answer the phone.
  • Schedule transportation for residents on the community bus, complete necessary paperwork and give slips to appropriate person to invoice; assist residents in securing outside personal transportation.
  • Serves as central receiving point for all work orders. Writes, logs, dispatches emergencies as needed and logs into the Tracking Program.
  • Performs other duties as assigned.

Education: High school diploma or GED
Experience: 0+ years in relevant field
WORKING CONDITIONS:

  • May require shift changes or other non-standard work cycle that may interfere with off-duty time.
  • Potential for mucous membrane or skin contact with blood, body fluids or tissues, or a potential for spills. Potential blood borne pathogen exposure.
  • Subject to possibly hostile and upset residents, family members, etc.


PHYSICAL REQUIREMENTS:

Lifting up to 10 pounds; Fingering; Grasping; Pulling; Reaching; Repetitive movement; Standing; Feeling; Hearing; Seeing; Speaking. Inside environmental conditions.

OTHER REQUIREMENTS:
Work may involve the use of automated information systems which may include keyboard computer terminals, telephones, battery-operated devices, heat-copying devices, etc.
