About This Position
Primary purpose of job:
Answer multiline phone system. Greet customers. Sort incoming mail. Arrange mail shipments. Organize conference room schedule. Make welcome signs. Assist owner with filing, faxing, copying, organizing, scanning, and misc. duties.
Essential functions of job, frequency and percentage of time on job:
1. Answer multi line phone system. Transfer calls, page employees, and etc.
2. Assist customers in identifying parts and referring to a distributor.
3. Greet customers who come in the building and locate the employee they are here to see.
4. Create welcome signs for customers/vendors.
5. Sort incoming mail.
6. Arrange and handle outgoing mail shipments.
7. Organize and post conference room schedule.
8. Send order acknowledgements for sales department.
9. Read and handle/distribute e-mails received from the company website.
10. Keep and manage keys for replacement orders
11. Arrange/order food and drinks for meetings when needed.
12. Assist Bill Hansen with faxing, copying, organizing, scanning and additional duties as required.
13. Miscellaneous projects as assigned by manager.
Required skills, licenses, knowledge, experience or abilities:
- Ability to use fax machine, copy machine, typewriter, 10 key calculator, telephone systems, postage machine, and paper shredder.
- Must have excellent alpha numeric recognition skills.
- Experience with and knowledge of computers, including Microsoft Excel, Word, and Outlook.
- Oral and written communications skills.
- Good organization skills and attention to detail.
- Ability to work independently and exercise discretion.
- Above average math skills.
