Position Overview

The Estimating Coordinator provides essential functional support to the Estimating Department in the procurement and organization of subcontractor bids. This role plays a critical part in READY’s preconstruction success by ensuring the estimating process runs efficiently, subcontractor coverage is strong, and bid submissions are organized and competitive.

The Estimating Coordinator supports the Estimator in interpreting bid documents, developing scopes of work, soliciting vendor and subcontractor proposals, organizing bid data, and assisting in proposal preparation. This position supports multiple estimates simultaneously and requires strong organization and attention to detail.

Core Responsibilities

Receive and log Invitations to Bid (ITBs) from clients.Set up and maintain estimating files and electronic folders for each project.Download, organize, and distribute bidding documents to subcontractors and vendors.Manage subcontractor and vendor distribution lists for each bid.Solicit subcontractor and vendor proposals and ensure strong bid coverage.Track bid deadlines and maintain the bid calendar.Receive, organize, and file subcontractor and vendor bids.Assist in identifying and tracking bid coverage gaps and notify the Estimator as needed.Attend pre-bid meetings when required.Maintain and update the subcontractor database and qualification records.Conduct subcontractor follow-up via phone, email, and database tracking.Assist with leveling subcontractor proposals and organizing scope sheets.Support proposal preparation and presentation materials.Prepare and organize complete bid books for client submission.Assist with post-bid follow-up and clarification requests.

Qualifications

Preferred minimum of two (2) years of experience with a general contractor, subcontractor, or in construction-related support. Construction terminology knowledge is preferred but not required.Strong administrative, organizational, and time management skills.High attention to detail with strong follow-through.Ability to prioritize and manage multiple deadlines in a fast-paced environment.Strong written and verbal communication skills with professional phone etiquette.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Experience using construction or project management software platforms (e.g., Bluebeam, estimating systems, accounting systems, cloud-based construction management software) is a plus.Comfortable learning and adapting to new technology platforms as the company continues to evolve.Thrives in a collaborative, team-oriented environment.
