About This Position

Camano Island Fire & Rescue is seeking a detail-oriented, adaptable professional to join our administrative team as a Fire Administrative Support Specialist. This role is ideal for someone who enjoys variety in their work, takes initiative, and can seamlessly shift between responsibilities throughout the day. This position plays a key role in supporting District operations, assisting the public, and providing administrative support across multiple divisions.

Position Overview

The Fire Administrative Support Specialist serves as the front desk point of contact while also supporting a wide range of administrative functions including records management, finance support, training coordination, and HR assistance.

This is a part-time position working Wednesday - Friday, 8:30 AM – 5:00 PM, based out of the CIFR Administrative Building.


What You’ll Do:

Customer Service & Front Desk Operations

  • Greet visitors, determine needs, and direct them appropriately
  • Answer and route incoming calls and public inquiries
  • Respond to general email inquiries
  • Maintain a professional, organized, and welcoming lobby environment
  • Assist the public with services such as house numbering signs and EMI tubes

Fire & EMS Data Management

  • Perform quality control on Fire and EMS incident reports
  • Ensure accurate data entry using information from multiple sources
  • Maintain logs of incomplete or deleted incidents
  • Reconcile dispatch data and reporting systems monthly
  • Address and correct reporting errors in national reporting systems

Administrative & Operational Support

  • Coordinate facility calendars and room scheduling
  • Manage district vehicle reservation system
  • Support meetings, events, and training logistics (including travel and lodging coordination)
  • Run errands and assist with special projects across divisions

Finance & Records Support

  • Receive payments, prepare deposits, and maintain documentation
  • Assist with tracking fuel usage and reconciling billing
  • Support accounts payable processes and recordkeeping
  • Acknowledge donations and maintain related records

HR & Personnel Support

  • Assist with employee onboarding and offboarding processes
  • Enter and manage employee certifications and training records
  • Support HR projects and system updates

Mail, Shipping & Supplies

  • Manage incoming/outgoing mail and deliveries
  • Coordinate shipping and maintain records
  • Monitor and order office and program supplies

Minimum Qualifications

  • High school diploma or GED
  • Strong customer service and communication skills
  • Proficiency with Microsoft Office and general computer systems
  • Ability to manage multiple tasks with attention to detail
  • Ability to handle confidential information with professionalism and discretion

Preferred Qualifications

  • Experience in administrative support or office coordination
  • Experience with database entry or records management
  • Familiarity with public sector or fire service environments

Compensation & Benefits

  • Starting wage: $26.31
  • Washington State DRS PERS pension eligibility

Work Environment

Work is primarily performed in a professional office setting with frequent interaction with staff, volunteers, and the public. The position requires multitasking, adaptability, and occasional coordination with field personnel and multiple departments.
