Job Title: Director of Portfolio Performance
Department: Property Management
Reports To: Managing Director
FLSA Status: Exempt


Position Summary: Responsible for overseeing a client portfolio of properties. The position will assist and report to the Managing Directors of Operations. In addition, this position will oversee, mentor, assist and train Regional Directors that are involved with the portfolio. The position will be the main point of contact with the client along with being the liaison with messaging received from the client to other Gallery team members. This position will include orchestrating business intelligence, budgeting, financial analysis, revenue management, procedure training, and any other task needed to manage the portfolio successfully. Recruiting for open positions will also be necessary. Because we are a growing company, our expectation is that you will execute such tasks as necessary to support the company even if they may fall outside of your defined responsibilities.

The Director of Portfolio and Performance will be an expert in multiple markets in the Southeast and Southwest markets. Exceptional communication, interpersonal and problem-solving skills are required to be an effective leader. This position assists in the growth of the property management company with specific emphasis on mentoring and coaching employees. It is imperative that the Director of Portfolio Performance has a great relationship with the other division leads with emphasis on resident relations, marketing, reputation management, service and engineering, and accounting. This position will be involved with strategies that will drive a more customer-centric experience and ultimately result in strong business outcomes.
Organizational Responsibilities:

  • Organizational Ambassador: Engage with customers, associates, and stakeholders to understand and prioritize based on needs and operational realities.
  • Project Management: Create and maintain clear and sequenced plans to successfully launch pilots considering various rollout milestones.
  • Change Management: Experienced in leading cross-functional teams through change programs and projects, leverages frameworks and influence modeling to drive awareness and outcomes.
  • Community Service: Participate in activities outside the normal course of daily business that will enhance both the Company and your stature in the marketplace. This includes participation in industry related associations and groups to further your own development and the business goals of the company. As real estate professionals, it is important to take pride in the communities in which we do business and to be active in those communities.

Essential Duties and Responsibilities:
  • Teamwork: Support Managing Directors which includes site visits, reporting, and daily operational success.
  • Reporting and Analysis: Collaborate and monitor monthly owners reporting packages that meet dedicated deadlines. Generate regular reports and key performance metrics to track the success of properties and identify areas of improvement. Create and distribute business intelligence data to team members which assists in overall analysis of performance.
  • Financial Management: Collaborate with accounting department to ensure budget adherence and financial success for each property. Monitor property performance and take proactive measures to optimize revenue and control expenses.
  • Team Leadership: Ensure the Community Director’s and their teams are well-equipped and empowered to deliver data driven information. Conduct regular training and development programs to enhance the skills of the property management staff.
  • Operational Excellence: Research, develop, and implement best practices, procedures, and metrics to increase the productivity, efficiency, and reporting capabilities of the department.
  • Training and Development: Provide leadership, training, and mentorship to Community Directors and onsite teams to enhance their skills and knowledge. Foster a culture of collaboration, innovation, and continuous leasing within the onsite teams. Provide recommendations to other department heads as training needs are identified.
  • New Initiatives & Ancillary Programs: Assist with successful roll-out of new initiatives. Maintain and monitor current initiatives with our business intelligence software.
  • Transitions and Due Diligence: Assist with new property onboarding and transitional success. Ensure that policy and procedures are communicated to new properties and the incoming teams.
  • Annual Budget Process: Assist management teams with the preparation and review of annual property budgets and ensure that deadlines to ownership are achieved. Assist in creating the annual budget template and overseeing all budget workshops.

Work Hours:
This position is scheduled for 40 hours in a regular work week. Hours of operation vary, but typical office hours are from 8:30 am to 5:30 pm Monday through Friday. Must be available to work on additional tasks that may require work on weekends or after hours. Must be available to work onsite and travel for business purposes.

Qualifications:

Education/Experience:

College degree is preferred. Employment history that demonstrates progressive levels of accountability and responsibility in the application and usage of property management and residential multi-housing business principles, and demonstrated knowledge and skills in executing sales, customer service, revenue/expense management, and financial business plans.

Language Ability:

Demonstrated ability to read, write, and communicate effectively to comprehend and complete business plans, financial documents, and legal documents, motivate and lead teams, and communicate property strategies and performance with clients and property owners.

Math Ability:

Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages in order to complete financial records, budgets, and other fiscal reporting information.

Reasoning Ability:

Senior-level experience and skills in leading and managing others, including demonstrated skills in interviewing, on-boarding, directing, evaluating performance, and making effective talent management decisions. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills:

Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs to complete required reports and employment documents. Proficient in using property management software.

Certificates and Licenses:

Industry certifications are preferred.

Must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Travel will be required to visit properties, visit clients, present for new business opportunities, attend educational conferences, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position. Incumbents must be able to physically access all exterior and interior parts of any property and its amenities within the assigned portfolio and markets.

Must be able to view computer screens, cell phones, and other electronic equipment for extended periods of time where visual strain may result.
