WHO WE NEED
We are seeking a detail-oriented Digitization Technician to support a high-impact project focused on transforming analogue collections documentation into structured, accessible digital records across multiple museum departments.

Reporting to the Manager, Collections Information and supervised by the Project Manager, Collections Information, this role is responsible for digitally capturing primary source materials and contributing to enhancing ROM’s collection information systems. You will work closely with curators, collections staff, and researchers to ensure historical records are accurately captured, organized, and made accessible for future research and engagement.

This is a full-time, 1-year contract position, with the possibility of extension.

Please note that candidates selected for an interview may also be considered for similar temporary opportunities at ROM over the next 3–4 months.

HOW YOU WILL MAKE AN IMPACT
  • Digitally capture analogue collections documentation (e.g., ledgers, field notes, catalogue cards) through scanning and photography workflows
  • Upload and organize digital assets within centralized systems, ensuring adherence to established naming conventions and file structures
  • Apply established metadata standards and protocols to accurately describe and classify digital records
  • Perform quality control on digitized content and metadata to ensure consistency, completeness, and data integrity
  • Capture and maintain accurate photographic representations of analogue materials
  • Support data cleaning and preparation activities to improve usability and accessibility within collections systems
  • Liaise with Collections staff (including curators, registrars, conservation teams, and specialists) to gather, verify, and exchange information related to digitization efforts
  • Identify and appropriately handle sensitive or confidential information
  • Manage high volumes of digitization output while maintaining exceptional attention to detail and accuracy
  • Work independently to meet project timelines and deliverables

WHAT YOU BRING
  • A Bachelor’s degree in history, information science, data management, or a related field, or equivalent practical experience
  • Minimum two (2) years of experience supporting digitization, data entry, records management, or collections-based projects (experience in a cultural, archival, or research environment is an asset)
  • Additional coursework in museum studies, archives, or information science is considered an asset
  • Demonstrated experience in cataloguing, data entry, and data manipulation
  • Strong proficiency in Microsoft Excel (e.g., sorting, filtering, data cleaning, basic functions)
  • Experience with Adobe Suite and SharePoint; familiarity with tools such as OpenRefine is an asset
  • Experience with book/document scanning and digital imaging workflows
  • Working knowledge of metadata standards and best practices
  • Ability to read cursive handwriting
  • Strong attention to detail and commitment to accuracy
  • Excellent organizational and time-management skills
  • Ability to handle confidential and sensitive information with discretion
  • Ability to work independently in a structured, project-based environment

WHAT TO EXPECT IN OUR INTERVIEW PROCESS
  1. Initial conversation: A 30-minute virtual conversation** with a Recruiter to discuss your interest in the role and ROM and how you can make an impact.
  2. First interview: A 1-hour in-person or virtual interview with the Hiring Manager and a member of the HR team. This in-depth interview will focus on your skills and how they align with the team's and ROM's needs.
  3. Second interview: A 1-hour in-person meeting with the Hiring Manager and relevant team members. You may be asked to present a pre-assigned case study and discuss scenarios relevant to your role.
