About This Position

DAP Construction Management (DAP) is seeking a highly organized and detail-oriented Construction Administrator to support the Sr. Project Manager in the successful execution of federal construction projects under the Multiple Award Construction Contract (MACC) at Davis-Monthan Air Force Base in Tucson, AZ.

This position plays a critical role in project documentation, compliance, coordination, and administrative support from pre-construction through closeout. The ideal candidate thrives in a fast-paced environment, understands federal construction requirements, and ensures that all documentation, communication, and processes align with Government standards and contract requirements.

Key Responsibilities:

Project Administration & Documentation

  • Maintain comprehensive project files, both digital and physical, in accordance with contract requirements.
  • Track and manage RFIs, submittals, amendments to SOW, modifications, change orders, and correspondence.
  • Assist in preparing Task Order Proposal Request (TOPR) packages, including assembling narratives, forms, and supporting documentation.
  • Support the Sr. Project Manager with proposal and estimate documentation in coordination with the Estimator.
  • Ensure all project documentation is complete, accurate, and submitted on time per Government requirements.
  • Contract & Compliance Support

  • Review subcontractor documents for completeness (insurance certificates, licenses, bonds, certified payroll, etc.).
  • Assist with compliance tracking related to safety documentation and quality control documentation.
  • Maintain logs for submittals, RFIs, change orders, meeting minutes, and deliverables.
  • Support CQM and QA/QC documentation tracking.
  • Financial & Procurement Support

  • Assist with subcontract and vendor onboarding documentation.
  • Track pay applications, lien releases, and supporting documents.
  • Support budget tracking and cost documentation under direction of the Sr. Project Manager.
  • Coordinate material procurement documentation and delivery tracking.
  • Project Coordination

  • Schedule meetings and prepare meeting agendas and minutes.
  • Attend site visits and disseminate photos to prospective subcontractors.
  • Coordinate communication between Government representatives, subcontractors, vendors, and internal teams.
  • Assist with scheduling updates and document distribution.
  • Support project closeout by compiling warranties, O&M manuals, as-builts, and final documentation packages for Government turnover.
  • Skills & Qualifications:

  • 2–5 years of experience in construction administration or project coordination (federal construction experience preferred).
  • Strong understanding of construction documentation processes.
  • Familiarity with federal construction contracts and compliance requirements is highly desirable.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to read and interpret construction drawings and Statements of Work (SOWs) preferred.
  • High attention to detail and ability to work in a fast-paced, deadline-driven environment.
  • Experience with project management software such as Primavera P6, Procore, or similar platforms preferred but not required.
  • Additional Requirements:

  • This position requires access to Davis-Monthan Air Force Base (DMAFB). Candidates must be able to pass an in-depth background check in accordance with federal and base security requirements.
