Twelve Corners Orthodontics & Pediatric Dentistry is hiring. Looking for a warm, positive, and dynamic personality that will welcome patients and families into the practice. Dental experience is strongly preferred.

Job Summary

The Dental Receptionist is the first point of contact for patients and plays a vital role in creating a welcoming and efficient dental practice. This position is responsible for managing front desk operations, scheduling appointments, handling patient inquiries, and coordinating administrative tasks. The Dental Receptionist ensures smooth daily operations by maintaining accurate patient records, processing insurance information, and supporting the dental team with excellent organizational and communication skills.

Education and Experience

Education

  • High school diploma or equivalent required
  • Certificate or diploma in medical/dental office administration preferred
  • Coursework in healthcare administration, medical billing, or office management is an asset

Experience

  • Previous experience as a dental or medical receptionist preferred
  • Experience with appointment scheduling, patient check-in/check-out, and phone management
  • Familiarity with dental software systems (e.g., Dentrix, Eaglesoft, Open Dental)
  • Knowledge of dental terminology, insurance verification, and billing procedures
  • Strong customer service, communication, and organizational skills

Knowledge

  • Knowledge of dental terminology, procedures, and common treatments
  • Understanding of dental office workflows and front desk operations
  • Familiarity with appointment scheduling and patient record management
  • Knowledge of dental insurance plans, billing processes, and claim submission
  • Awareness of patient confidentiality and HIPAA regulations
  • Basic understanding of infection control and workplace safety standards
  • Proficiency in using dental practice management software and office equipment

Primary Job Duties

  • Greet patients and visitors in a friendly and professional manner
  • Answer phone calls, respond to inquiries, and route messages appropriately
  • Schedule, confirm, and manage patient appointments
  • Check patients in and out and update patient records accurately
  • Verify insurance eligibility and process billing and payments
  • Maintain patient files while ensuring confidentiality and HIPAA compliance
  • Coordinate communication between patients and dental staff
  • Handle correspondence, emails, and basic administrative tasks
  • Maintain a clean, organized, and welcoming front desk area

Activities

  • Interacting with patients to provide information and assistance
  • Scheduling and adjusting appointments throughout the day
  • Answering and making phone calls, emails, and reminders
  • Entering, updating, and reviewing patient information in the system
  • Processing payments, insurance forms, and billing documents
  • Coordinating daily schedules with dentists and clinical staff
  • Managing front desk workflow and prioritizing tasks
  • Resolving patient questions or concerns courteously
  • Maintaining organization of files, supplies, and reception area
