We are seeking a Project Coordinator to provide essential administrative and operational support for our Automation Division. This is a dynamic opportunity to contribute to a fast-growing, customer-focused organization with over $50M in annual business.About the RoleAs our Project Coordinator, you will play a key role in ensuring the success of our Controls projects and supporting our leadership team. Your primary responsibilities will include project administration, executive support, and sales administration. You’ll work closely with the VP Controls, Director of Projects & Field Services, Director of Sales, and other team members to keep meetings and project tasks organized, documented, and communicated.Key ResponsibilitiesProject Administration & Coordination:Schedule and coordinate recurring project meetings (kickoffs, weekly touchpoints, risk reviews, lessons learned).Prepare and distribute agendas, meeting minutes, decisions, and action item lists.Maintain project checklists and trackers.Organize and maintain project documentation (HOPs, RFIs, change orders, transmittals, FDD versions, test plans, sign-off documents).Track key dates and milestones and communicate updates to stakeholders.Assist with coordination between Controls, Electrical, PMO, and Field teams.Support change management documentation.Office Support:

- Manage team calendars and tracking systems.Coordinate meetings with internal leaders and external partners/customers.Prepare, format, and organize presentations, reports, and one-pagers.Support basic office logistics (meeting room coordination, organizational charts, etc.).
- Enter and maintain opportunity data and contacts in CRM tools.Maintain accurate pipeline information and prepare simple reports.Assist with proposal/RFP coordination and document organization.Coordinate logistics for customer calls, demos, and site visits.
- Schedule onboarding for new hires and contractors.Maintain onboarding checklists and track completion.Support scheduling and tracking of internal training and compliance.Divisional Operations & Reporting:Maintain divisional trackers for milestones, hiring, and vendor engagements.Assist with collecting and organizing data for KPIs and leadership reports.Maintain organized Teams/SharePoint file structures.
