The Executive Assistant & Office Manager provides high-level administrative and organizational support to the President, ensuring seamless daily operations and efficient communication across the company. This role manages calendars, correspondence, travel, and confidential documents while anticipating executive needs and streamlining workflows. Approximately 10% of responsibilities include personal support, such as coordinating personal appointments, travel, and errands.
Reports to: President
Salary: $70,000 - $90,000 (Based on Experience)
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Prepare correspondence, reports, presentations, and meeting materials.
- Screen calls, emails, and visitors; prioritize and route information appropriately.
- Manage and track operational projects and company initiatives, maintaining timelines, action items, and follow-through across internal teams and external vendors.
- Support executive decision-making through research, data collection, and report preparation.
- Oversee day-to-day office management including supply management, facilities coordination, and ensuring a productive work environment across locations.
- Liaise with internal departments and external partners to facilitate efficient communication.
- Provide limited personal support, including scheduling personal appointments, managing errands, and travel coordination (approx. 10% of workload).
- Perform other duties as assigned.
Work Environment
- Office-based in Accokeek, MD.
- Business Casual.
- 3+ years of experience supporting senior executives or business owners.
- Proficiency in Microsoft Office Suite and Google Workspace; familiarity with project management and CRM tools preferred.
- Strong written and verbal communication skills.
- Exceptional time management, attention to detail, and problem-solving abilities.
- Ability to handle sensitive information with the utmost confidentiality.
- Intermediate to advanced proficiency using AI tools and platforms (e.g., ChatGPT, Copilot, automation tools) to support research, drafting, workflow efficiency, and executive productivity.
