Position Summary
We’re looking for a highly organized and proactive Order Assignment Coordinator (O.A.C.) to be the central hub of our fast-paced E-Commerce team. This role plays a critical part in ensuring every incoming customer email and order is reviewed, routed, and assigned accurately so work moves efficiently and customers receive exceptional service.
As the O.A.C., you’ll help drive operational excellence by monitoring daily order volume, balancing team workloads, and stepping in when clarification or follow-up is needed. Your attention to detail and sense of ownership will directly impact turnaround times, internal efficiency, and overall customer satisfaction.

Compensation & Benefits
● $25.00 to $27.50 an hour (depending on level of experience)

What You'll Do
● Sort and assign daily incoming customer emails to the appropriate person or department based on task type, territory, and order needs
● Ensure customer orders and requests are routed efficiently to support on-time processing and customer satisfaction
● Monitor volume and balance incoming work across multiple teams and individuals, reassigning tasks when needed
● Respond to customer emails directly when clarification or additional information is required before assignment
● Assist team members with locating and tracking client communications across multiple teams and systems
● Work closely with the E-Commerce Director and team Supervisors to notify leadership of trends, workflow issues, or recurring challenges
● Provide daily updates to the team regarding Order Entry territory switches or assignment-related changes through designated communication channels
● Support internal communication and accountability by ensuring handoffs are clear and follow-through happens consistently
● Perform other duties as assigned
Required Qualifications
● High school diploma or equivalent
● 3+ years of experience in customer service, order processing, order management, email triage/shared inbox support, or administrative coordination
● Strong ability to manage high-volume inbound emails/orders with speed and accuracy
● Experience routing/assigning requests to the correct person or department based on task type, territory, or priority
● Excellent written and verbal communication skills, including professional customer email responses
● Strong organizational skills, attention to detail, and consistent follow-through
● Ability to multitask, prioritize competing deadlines, and stay accountable in a fast-paced environment
● Proficiency with Google Workspace and comfort learning new systems
● Working knowledge of CRM/order platforms
Preferred Qualifications
● Associate’s or Bachelor’s degree in Business, Operations, Communications, or related field
● Experience in E-Commerce, order entry, production, manufacturing, or fulfillment environments
● Familiarity with territory-based order routing, workflow coordination, or queue management
● Experience balancing workload across multiple teams and adjusting assignments in real time
● Ability to identify trends, flag issues, and support process improvements (SOPs, documentation, team updates)
