Description:

Position Overview

The 30+ year company supports the petrochemical and manufacturing industry domestically and internationally and is positioned along the Gulf Coast providing training, occupational medicine, and innovative solutions to industry. The Program Support Specialist plays a key role in supporting the day-to-day operations of our drug and alcohol testing programs. This position is responsible for accurately processing test results, assisting with new client onboarding, and serving as a point of contact for client inquiries related to testing and results.

Essential Job Responsibilities

· Accurately enter and process drug and alcohol test results into internal systems in a timely manner

· Review results for completeness and escalate discrepancies or issues as needed

· Assist with new client setup, including system configuration, data entry, and account verification

· Serve as a point of contact for clients regarding test results, status updates, and general inquiries

· Maintain confidentiality and ensure compliance with DOT and non-DOT regulations, as applicable

· Communicate with laboratories, collection sites, and internal teams to resolve data or reporting issues

· Support ongoing data audits to ensure accuracy and integrity of records

· Document processes and maintain organized records of client and testing information

· Assist with additional administrative and operational tasks as needed

· Maintain current MRO Assistant certification and remain up to date on required training and regulatory knowledge

· Support the Medical Review Officer (MRO) in the daily processing and review of drug screen results

· Contact donors and healthcare providers to obtain and verify prescription information, in accordance with established protocols

Preferred Skills & Qualifications

· High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.

· One to three (1–3) years of experience in data entry, administrative support, or a related role.

· FCRA Basic and MRO Assistant certifications preferred. Candidates who do not currently hold these certifications will be required to obtain them within 90 days of hire.

· Experience with drug and alcohol testing programs and/or DOT compliance strongly preferred.

· Strong organizational skills with exceptional attention to detail and accuracy.

· Demonstrated ability to manage time effectively, prioritize tasks, and consistently meet deadlines.

· Ability to handle sensitive and confidential information with discretion and professionalism.

· Excellent verbal and written communication skills.

· Strong interpersonal skills with a customer-focused mindset.

· Proven problem-solving skills with the ability to think critically and resolve issues efficiently.

· Ability to manage multiple priorities in a fast-paced environment and delegate tasks when appropriate.

· Ability to respond to client inquiries and issues in a calm, courteous, and solution-oriented manner.

· Working knowledge of Microsoft Word and Excel required.

Proficiency with Microsoft Office Suite and mobile workforce management platforms preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to read, talk or hear. The employee frequently is required to stand, walk, sit, use hands to handle training equipment and tools, reach with hands and arms, climb or balance, stoop, kneel, crouch, and crawl. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment

This job is typically in an office environment and will require travel as needed. This role is occasionally required to perform outside of normal business hours, specifically as related to events. Reporting Responsibilities

The Program Support Specialist reports directly to the Supervisor of Screening Services – Drug & Alcohol. This position does not have direct reports.
