Reporting to the Senior Director, Marketing & Client Learning, this role coordinates and manages AAAHC’s marketing communications, publications, and digital content from planning through delivery. Key responsibilities include overseeing end-to-end production of marketing materials and client publications; managing editorial calendars, workflows, and approvals; administering and improving the AAAHC website and eCommerce content; serving as a brand steward to ensure consistency across all deliverables; coordinating vendors and budgets; and leveraging digital platforms to execute and monitor projects. The role partners with subject-matter experts to translate complex content into clear, client-ready communications and supports social media, events, and internal communications as needed.

Coordinate and manage all marketing communications projects, serving as a central point of contact to ensure quality, consistency, and timely delivery across initiatives.Partner closely with Senior Director, Marketing & Client Learning and Marketing team members to gather project requirements and specifications; clarify objectives, stakeholders, success metrics, and detailed deliverable timelines.Brief and coordinate with creative services vendors and agency partners on design, copy, imagery, and content needs for sales tools, marketing collateral, advertisements, tradeshow booth graphics, events, websites, and other promotional materials.Support development and execution of marketing and promotional materials by managing collateral inventory, packing, and logistics for exhibits, conferences, and other events.Serve as a brand steward, maintaining all logo files and ensuring consistent application of brand and trademark standards across all marketing communications and promotional materials.Maintain rigorous organization of AAAHC marketing assets and project files, adhering to established file labeling and version-control processes across shared drives, email marketing platforms, project management tools, and other marketing systems; ensure file naming conventions are clear, consistent, and appropriate for both internal and external audiences.Route materials through internal review and approval processes, including regulatory and legal review, using Wrike and other workflow or project management tools as required.Coordinate with print vendors and distribution partners to obtain quotes, establish production schedules, and ensure accurate and timely delivery of printed materials.Increase operational efficiency by developing and maintaining a centralized brand identity library, organizing approved logos, images, templates, and marketing assets for easy access and reuse.Manage external vendors and agency partners as needed, ensuring quality standards, timelines, and deliverables are met.Monitor and track project expenses against budget, process invoices, and coordinate with Accounts Payable to ensure accurate and timely payment.Lead end-to-end development, coordination, editing, and delivery of AAAHC publications and digital communications, including Triangle Times Today, Standards handbooks, Quality Roadmap, other newsletters, reports, toolkits, and scheduled or rapid-response eBlasts. This role relies on internal subject-matter experts for technical content while maintaining full accountability for editorial quality, accuracy, consistency, and on-time publication.Establish, manage, and maintain an integrated editorial calendar for recurring and ad hoc publications, using a structured project-management approach to define scope and objectives; coordinate contributors; set, monitor, and enforce timelines; manage review and approval workflows; and ensure predictable, timely delivery.Translate subject-matter expertise into client-ready publications by shaping narrative structure, editing for clarity, tone, and accessibility, and ensuring continuity across articles, issues, and publication formats to meet the needs of diverse ambulatory care audiences.Serve as central point of coordination for publication production, including defining project scope, selecting and managing vendors as needed, overseeing production workflows, and ensuring all materials consistently align with AAAHC brand standards and marketing and communications objectives.Develop and maintain contributor guidelines, templates, and training materials for AAAHC publications; provide training and ongoing support to internal contributors; manage annual and rolling publication plans; and edit submissions to ensure consistency, cohesion, and editorial integrity across all deliverables.Ensure quality control and accountability throughout the publication lifecycle, including content completeness, editorial accuracy, formatting consistency, and adherence to established timelines and organizational priorities.Administer and oversee the AAAHC website, conducting ongoing reviews to identify content updates, usability improvements, and optimization opportunities; serve as the primary editor and approver for staff-generated content and coordinate structured, quarterly website review initiatives across all departments.Support content development for the AAAHC eCommerce Store, coordinating inputs, identifying and engaging appropriate subject-matter experts, and editing and finalizing content to ensure accuracy, clarity, and alignment with brand and communications standards.Leverage CRM, tradeshow management, social automation, workflow, and digital communications platforms to manage, execute, and monitor communications and marketing projects; track performance metrics where available to inform continuous improvement and reporting.Provide support and backup for social media, tradeshow management, and events as needed, including content posting, planning, image design, and on-site or logistical support for tradeshows and related events.Develop, maintain, and govern the use of standardized PowerPoint and Word templates, leveraging the Microsoft Office suite (PowerPoint, Word, Excel, Outlook); educate staff on proper template usage and brand standards, and present marketing and communications guidance and related topics to internal colleagues as needed.

Demonstrate basic proficiency in use of 1095 Engage accreditation management system with focus on the client modules to understand system value proposition and incorporate into messaging.

Minimum Qualifications and Job-specific Competencies Required

Preferred Qualifications

Experience in marketing or related function at an agency or internal MarCom departmentExperience in digital marketingHealth care industry experience in a medical device or life sciences technology-driven companyExperience with marketing automation and customer relations management (CRM) strategies, tactics, and processes

Working Conditions & Travel Expectations

Occasional evening conference calls and weekend meetingsTravel <25% to clients, tradeshows, client education events, vendor meetings, and governance meetings, as appropriate
