About the role:The HR Administrative Assistant supports the Human Resources team by executing HR documentation, compliance processes, and system updates. This role ensures employee records remain accurate and HR documentation is properly maintained.

This position focuses on administrative HR processes and system updates and supports HR leadership by executing established HR workflows.

The HR Administrative Assistant does not conduct employee relations investigations, interpret HR policy, or determine disciplinary outcomes.

Key Responsibilities:

Onboarding Processing

  • Process new hire onboarding documentation and ensure all required paperwork is completed.

  • Enter new hire information into HR systems and ensure employee records are accurate.

  • Coordinate onboarding documentation and system setup for newly hired employees.

  • Maintain organized onboarding records and ensure compliance with documentation requirements.

Attendance & Disciplinary Documentation

  • Monitor attendance records and assist with drafting attendance-related documentation as directed by HR leadership.

  • Prepare written warnings and other disciplinary documentation based on HR leadership guidance.

  • Maintain organized records of attendance documentation and disciplinary actions.

  • Conduct audits to identify potential job abandonment cases.

  • Prepare and send job abandonment notices and related documentation.

  • Track responses and maintain documentation for compliance purposes.

HRIS & Employee Status Updates

  • Maintain accurate employee rosters within HR systems.

  • Process employee status changes including terminations and suspensions as directed by HR leadership.

  • Update systems to reflect employee status changes and remove suspended employees from schedules when necessary.

HR Documentation & File Management

  • Upload HR documentation and disciplinary records into employee files.

  • Maintain organized and accurate HR records.

  • Support HR administrative projects and documentation requests as needed.

What you bring to the table:

  • High school diploma or equivalent required.

  • Previous experience in an administrative or office support role, preferably within HR.

  • Proficiency in Google Workspace

  • Must be able to lift up to 25 lbs

  • Strong written and verbal communication skills.

  • Excellent organizational and time-management abilities.

  • Ability to multitask and prioritize effectively.

  • Attention to detail and problem-solving skills.

  • Friendly and professional demeanor.

  • Knowledge of HR practices and procedures is a plus.
