DEPARTMENT: Assisted Living POSITION TITLE: Assisted Living Manager RESPONSIBLE TO: Health Care Director EXEMPTION STATUS: Non-exempt

Summary:

Is the point person for communication between Administration and Front-Line Staff.

ESSENTIAL JOB FUNCTION: Staff Coordination Responsibilities

  • Support the Mission and Ministry of Sapphire Lutheran Homes.
  • Is the liaison between AL Staff, Residents, Resident Families, Outside Care Providers and Facilities, Volunteers, Community Members, and all other Members of the Sapphire Staff.
  • Is responsible for calling and coordinating Team Meetings.
  • Is responsible for communicating Team Decisions.
  • Participates in monthly Resident Meetings.

ESSENTIAL JOB FUNCTION: Staff Management Responsibilities

  • Communicating job expectations to team.
  • Maintains quality service by complying with State and Federal Regulations governing employment law and Montana DPHHS Assisted Living Regulations.
  • Assists with managing, monitoring, and appraisal of AL Staff job performance.
  • Coaches, counsels, manages, and helps discipline employees under the supervision of HCD.
  • Ensures all established policies are appropriately adhered too.
  • Ensures that each shift has appropriate staffing levels.
  • Assists in the hiring process of new team members.
  • Ensures all staff are appropriately trained via on-boarding checklist.
  • Communicates with Activities, Transportation, Office, Dietary, Housekeeping, Maintenance, Nursing, Administration and IT.

ESSENTIAL JOB FUNCTION: Communication/Reporting Responsibilities

  • Will work in unison with HCD and AA to communicate all information regarding staffing levels, staff

communication and any staffing or scheduling challenges.

ESSENTIAL JOB FUNCTION: Safety Responsibilities

  • Obeys safety rules of Sapphire Lutheran Homes.
  • Identifies, reports, and/or corrects obvious safety hazards.
  • Attends mandatory meetings and safety in-services.
  • Reviews all Incident Reports.

ESSENTIAL JOB FUNCTION: Mission/Customer Service Responsibilities

  • Follows Sapphire Lutheran Homes’ Guidelines for Customer Service.
  • Let the Mission be your guide.
  • Make eye contact and smile.
  • Greet and welcome each and every person.
  • Seek out personal contact.
  • Provide immediate service-listen and act.
  • Use appropriate body language at all times.
  • Be gracious to each and every person.
  • Other duties as assigned.

ESSENTIAL JOB FUNCTION: Employee Responsibilities

  • Follows policy and procedures on annual TB testing.
  • Follows policy and procedures on annual influenza vaccinations.
  • Maintain, upkeep, update and reconcile all charts in the MAR.
  • Attends all mandatory in-services and trainings.
  • Attends and participates in scheduled training and educational classes to maintain current certification

in accordance with the State of Montana.

  • Performs other duties as assigned by HCD.

REQUIREMENTS:

Minimum Requirements:

  • Prior experience in managing a health care setting required.
  • Current and unincumbered CNA and Med Tech Licenses.
  • Enters and updates resident information in the MAR.
  • Minimum of three years in a managerial or leadership role in healthcare.
  • Ability to pick up unfilled and needed shifts on the floor for Assisted Living.
  • Creation and maintenance of a running four-week schedule for Assisted Living staff; coordination and maintenance of vacations and time off requests of front-line staff.
  • Placing the Second-Floor food order.
  • Participation in care conferences with outside agencies and families.
  • Works collaboratively, positively and professionally with the Health Care Director and Associate Administrator.
  • Attend memory care resident appointments should families be unable to attend.
  • Frequently walks the floors and keeps record of medications, and status of residents’ care.
  • Adheres to all policies such as, but not limited to, dress code, attendance, and workplace conduct.
  • Manages front-line Assisted Living staffs timecards.
  • Creates and maintains training and onboarding for new staff.
  • Schedules and conducts interviews and assists with onboarding process.
  • Preferred: EMT, CMA licenses.

Knowledge, skills, and abilities required:

  • Ability to foster teamwork.
  • Ability to provide appropriate feedback to staff and administration.
  • Ability to understand written and verbal communication.
  • Ability to interact effectively and professionally with residents, family members, and coworkers.
  • Ability to work independently and as a team.
  • Ability to use various health care supplies and equipment, including, but not limited to: blood pressure devices, thermometers, ambulatory devices, etc.
  • Ability to understand, create, update and reconcile resident charts.
  • Proficient in Microsoft Products, email, and similar computer skills.
  • Ability to relate to, and work with, the ill, elderly, disabled, emotionally upset, memory impaired, and at times, combative residents within the facility.
  • Ability to respond to residents’ needs in a timely and professional manner and adhere to the residents’ rights.
  • Ability to deal with stressful situations staff conflict, concerned families and providers, death and dying.

PHYSICAL DEMANDS:

  • Requires moderate physical work including lifting up to 25 pounds regularly and up to 50 pounds occasionally, standing, pushing, pulling, lifting, walking, and bending for prolonged periods of time.

WORKING CONDITIONS:

  • Work involves some exposure to unusual elements such as extreme temperatures, fumes, unpleasant odors, and/or loud noises.
  • Works a flexible schedule including days, evenings, nights, weekdays and weekends.
  • Available for On-Call Communication.
  • Work may involve exposure to hazards, blood borne pathogens, or physical risks, which require following basic safety precautions.
  • Normal health care environment.
