Position Description:

Are you an organized, detail-oriented professional who enjoys keeping office operations running smoothly while supporting teams and creating a positive workplace experience?

We're seeking an Office Coordinator to support daily administrative operations, coordinate office activities, and ensure efficient processes within our behavioral health facility. In this role, you'll work closely with facility leadership, Human Resources, corporate teams, and external partners to support office administration, employee credentialing, regulatory compliance, and organizational initiatives.

The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment, manages multiple priorities with ease, and enjoys helping others succeed. If you're passionate about organization, collaboration, and providing exceptional administrative support, we'd love to hear from you.

What You'll Do

  • Coordinate daily office operations, administrative procedures, and resources to ensure an organized, efficient, and productive work environment.
  • Partner with executive and administrative assistants to coordinate assignments, manage priorities, and ensure administrative deadlines and organizational goals are met.
  • Manage office supplies, purchasing, inventory tracking, and other administrative resources to support uninterrupted operations.
  • Prepare, draft, and organize memorandums, correspondence, reports, and other business documents for leadership review.
  • Maintain administrative records, data collection systems, and tracking tools to ensure information is accurate, accessible, and organized.
  • Coordinate meeting schedules, shared office spaces, facility activities, and other administrative logistics.
  • Serve as a liaison between facility leadership, the corporate office, employees, vendors, and external agencies to facilitate effective communication and coordination.
  • Organize office meetings, employee recognition activities, team celebrations, and other initiatives that support employee engagement and workplace culture.
  • Partner with Human Resources and licensed healthcare providers to coordinate credentialing activities, primary source verification, and required employee documentation.
  • Support HR administrative processes by responding to routine employee inquiries, assisting with benefits-related questions, and directing complex matters to the appropriate HR representative.
  • Maintain and audit employee records and credentialing documentation to support compliance with contractual, regulatory, and organizational requirements.
  • Identify opportunities to streamline administrative workflows, improve recordkeeping, and strengthen overall office efficiency.

What We're Looking For

Education

  • Required: High school diploma or equivalent.

Experience

  • Required: One (1) or more years of administrative support, office coordination, or office management experience.
  • Required: Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Preferred: Experience coordinating office operations, managing administrative records, scheduling, and preparing business correspondence.
  • Preferred: Experience supporting Human Resources processes, employee recordkeeping, or credentialing activities.
  • Preferred: Experience working in healthcare, behavioral health, or another regulated environment.
  • Preferred: Familiarity with employee credentialing, primary source verification, and compliance documentation.
