Job Description
The Program Analyst will support the administrative, operational, and organizational functions of the Government Blue List Program Office. This position will provide executive-level administrative support, program coordination, documentation management, travel coordination, meeting support, action tracking, and day-to-day operational support to the Government Blue List Program Manager and program leadership.
The ideal candidate is highly organized, professional, detail-oriented, and comfortable supporting senior military and civilian leadership in a fast-paced federal program office. This role requires strong communication skills, discretion with sensitive information, and the ability to manage multiple priorities, suspense items, calendars, trackers, and program documentation repositories.
The Program Analyst will not be responsible for contractor personnel management or overall contract performance unless specifically delegated by the Contractor Program Manager.
Key ResponsibilitiesExecutive & Administrative Support- Provide executive and administrative support to the Government Blue List Program Manager and program leadership.
- Manage calendars, schedule meetings, coordinate travel, prepare correspondence, and support daily program office operations.
- Prioritize competing demands and assist leadership with time-sensitive administrative and program support needs.
- Prepare professional correspondence, reports, presentations, briefing materials, meeting agendas, and meeting minutes.
- Support executive-level communications and documentation for internal and external stakeholders.
- Support administrative, operational, and organizational functions of the Blue List Program Office.
- Coordinate program office communications and administrative workflows among Government personnel, contractor personnel, and external stakeholders.
- Maintain effective information sharing across program leadership, technical teams, acquisition personnel, cybersecurity staff, public affairs staff, and other Blue List stakeholders.
- Track and coordinate recurring administrative requirements, suspense items, deadlines, and leadership actions.
- Provide timely status updates to Government leadership on pending actions, upcoming meetings, travel requirements, and program office priorities.
- Coordinate and maintain program office calendars, meeting schedules, action item trackers, decision logs, travel trackers, suspense trackers, and administrative records.
- Organize, maintain, and manage electronic repositories, program documentation, correspondence files, meeting records, and office workflows.
- Ensure program records are accurate, current, organized, and readily accessible to authorized personnel.
- Support maintenance of SharePoint, Microsoft Teams channels, shared folders, and other collaboration platforms.
- Assist with formatting, routing, version control, and quality checks for program documents and briefings.
- Coordinate high-level stakeholder meetings, working groups, program reviews, and internal planning sessions.
- Prepare meeting agendas, attendance rosters, briefing packages, minutes, and follow-up action summaries.
- Track decisions, action items, deadlines, and responsible parties resulting from meetings.
- Coordinate logistics for virtual and in-person meetings, including conference rooms, Teams meetings, materials, and supporting documentation.
- Interface professionally with senior military leaders, civilian leadership, Government personnel, contractor personnel, and external stakeholders.
- Coordinate Government travel activities, including preparation, tracking, and reporting of travel authorization requests and related documentation.
- Assist with destination travel itineraries, trip coordination, travel trackers, and follow-up documentation.
- Maintain a centralized, real-time travel tracker for program personnel.
- Assist with administrative preparation and processing of Travel Authorization Requests or use of travel systems such as the Defense Travel System, as applicable.
- Support travel-related reporting and coordination with program leadership.
- Identify opportunities to improve administrative processes, office workflows, trackers, documentation practices, and organizational efficiency.
- Recommend improvements to program office coordination, meeting management, suspense tracking, and communication processes.
- Support implementation of new administrative procedures, templates, repositories, and tracking methods.
- Help maintain an organized, responsive, and efficient program office environment.
- Bachelor’s degree in Business Administration, Operations Management, Communications, or a related administrative or analytical field preferred.
- Equivalent professional experience may be considered in lieu of a degree.
- Demonstrated experience supporting executive calendars, meeting coordination, travel coordination, documentation management, and office operations.
- Experience preparing meeting agendas, meeting minutes, briefing packages, correspondence, presentations, and reports.
- Experience managing action item trackers, decision logs, travel trackers, suspense trackers, and administrative records.
- High proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Experience using Microsoft Teams, SharePoint, and collaborative platforms to manage correspondence and program repositories.
- Strong written and verbal communication skills.
- Strong organizational skills and ability to manage competing priorities.
- Ability to handle sensitive information with discretion.
- Ability to interface professionally with senior military and civilian leadership.
