  • Project Coordination: Assist with project intake, planning, tracking, and execution by maintaining detailed project plans, providing workstream updates, and following up with stakeholders to keep initiatives progressing.
  • Communication Materials: Prepare accurate and consistent patient-facing and staff-facing materials using established templates, including letters, call scripts, talking points, and event invitations.
  • Outreach Readiness: Partner with operational and call center teams to ensure workflows, tools, processes, and resources are ready to support effective outreach initiatives.
  • Training Support: Prepare training and readiness materials and facilitate targeted sessions to equip teams with the guidance and resources needed to execute outreach effectively.
  • Data & Reporting: Compile, validate, and communicate program data and performance updates while maintaining data integrity within tracking tools.
  • Outreach Lists: Gather, prepare, and quality-check patient outreach lists and submit finalized files for communications and execution.
  • Process Improvement: Identify opportunities to strengthen workflows, improve execution quality, and support stronger retention and patient engagement outcomes.
  • Cross-Functional Collaboration: Coordinate effectively across operational and business teams, maintaining clear communication, follow-through, and alignment throughout each initiative.
Requirements
  • Education: Bachelor’s degree in Marketing, Business, or a related field.
  • Professional Experience: 4+ years of experience in project coordination, program management, operations, or a similar role, ideally within healthcare.
  • Project Management: Strong organizational and planning skills, with the ability to manage multiple projects and workstreams across cross-functional teams.
  • Attention to Detail: High attention to detail and a strong focus on execution quality, accuracy, and follow-through.
  • Communication: Excellent interpersonal and communication skills, with the ability to collaborate effectively and create clear materials and training content.
  • Data Skills: Comfortable working with data, including compiling reports, managing outreach lists, validating information, and supporting recurring reporting requirements.
  • Travel: Ability to travel to healthcare centers and leadership workshops as needed, including occasional travel for training or meetings.
  • Outreach Experience: Experience supporting outreach programs or customer/patient communication initiatives is preferred.
  • Project Management Tools: Proficiency with tools such as Monday.com or Microsoft Project is preferred.
  • Design Tools: Basic proficiency with Adobe Acrobat or similar tools for editing and adapting templates is preferred.
  • CRM & Communication Platforms: Familiarity with CRM systems or outbound communication tools is an advantage.
  • Reporting & Analytics: Exposure to reporting tools or dashboards such as Power BI is preferred.
  • Work Style: Highly organized, proactive, adaptable, and comfortable working in a fast-paced environment with multiple stakeholders and evolving priorities.
