We're scaling rapidly, investing in our people, and building a high-performing team focused on real impact. If you're looking for work that challenges you and truly matters, you'll find it here.
About the Role
The Warehouse Rebate Processor handles the physical and transactional processing of AEDs and other devices from manufacturer rebate and trade-in programs (approximately 70 to 80% of the role), making sure each device is accurately received, documented, processed in our warehouse management system, and moved through the rebate workflow. You'll work closely with the Rebate Coordinator, who owns customer communication and overall workflow, along with Warehouse Operations, Inventory, and Procurement. The role also supports AED recertifying and general warehouse operations.
Key Responsibilities
Rebate & Trade-In Processing
- Receive and process AEDs and other devices from manufacturer rebate and trade-in programs, verifying manufacturer, model, and serial number against the rebate program, purchase order, or return documentation.
- Accurately record device information and complete required warehouse management system transactions so physical inventory and system records stay aligned.
- Identify and separate ineligible, damaged, unidentified, or other exception devices, and escalate eligibility, valuation, or documentation questions to the Rebate Coordinator.
- Partner with the Rebate Coordinator on claim processing, documentation, and check preparation to support timely manufacturer claim submission.
Inventory & Documentation
- Maintain supporting documentation and transaction records for rebate submissions, reporting, and audits.
- Reconcile physical rebate inventory against the warehouse management system and rebate tracking records and research any discrepancies.
- Keep rebate and trade-in staging areas organized and prepare devices for their next step, including resale, recycling, destruction, return, or other approved disposition.
- Flag recurring processing issues or workflow breakdowns to leadership.
Recertifying & Warehouse Support
- Inspect, test, and assess returned products for recertification eligibility, then refurbish and prepare approved units for resale.
- Support warehouse operations as needed, including receiving, stocking, picking, packing, and shipping.
- Follow all safety procedures, operate warehouse equipment as trained (forklifts, pallet jacks, hand trucks), and help keep the warehouse clean and organized.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Previous warehouse, inventory, receiving, or administrative processing experience preferred. Experience with serialized inventory or medical devices is a plus.
- Intermediate computer and Microsoft Excel skills required. Proficiency in Outlook.
- Warehouse Management System experience (Microsoft Dynamics 365 F&O, Oracle, SAP, NetSuite, or similar) preferred, and the ability to learn new systems quickly.
- Strong attention to detail and accuracy when entering and verifying item numbers, serial numbers, and transaction data.
- Ability to follow documented processes and use sound judgment when something falls outside them.
- Strong organizational, time-management, and communication skills.
- Self-motivated and able to work independently or as part of a team, manage multiple priorities, and meet deadlines.
Physical Requirements
- Ability to alternate between computer work (up to 8 hours at a time) and physical warehouse activity throughout the day.
- Ability to stand, move, squat, reach, and climb for extended periods.
- Ability to lift and move packages and equipment, 30 lbs regularly and up to 50 lbs on occasion.
- Ability to use computers, barcode scanners, printers, and warehouse equipment in a climate-controlled warehouse.
- Ability to occasionally work extended hours during high-volume rebate or trade-in cycles.
