Executive Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant based in India.

This role offers the opportunity to become a trusted operational partner to senior leadership within a fast-growing, remote-first environment. As an Executive Assistant, you will help executives maximize their impact by managing priorities, coordinating complex schedules, and ensuring smooth day-to-day operations. You will work closely with multiple stakeholders, supporting strategic initiatives and improving internal processes. The position goes beyond traditional administrative responsibilities, requiring strong judgment, organization, and proactive problem-solving. You will play a key role in creating structure, maintaining efficiency, and ensuring important projects and communications move forward. Accountabilities:

The Executive Assistant will serve as a key support partner for leadership by managing executive operations, coordinating priorities, and improving organizational efficiency.

  • Manage complex executive calendars, including scheduling meetings across multiple time zones while protecting focus time and strategic priorities.
  • Coordinate internal and external meetings by preparing agendas, materials, documentation, and follow-up actions.
  • Manage executive communications, including inbox organization, drafting responses, prioritizing messages, and ensuring timely follow-up.
  • Prepare meeting notes, action items, and status updates to support effective decision-making.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics when required.
  • Handle confidential information with professionalism, discretion, and strong attention to detail.
  • Track executive priorities, company initiatives, projects, and action items to ensure deadlines are met.
  • Support cross-functional coordination by helping teams stay aligned on deliverables and objectives.
  • Assist with documentation, reporting, presentations, and internal process improvements.
  • Organize leadership meetings, company events, and operational activities.
  • Maintain structured records, resources, and documentation systems.
  • Act as a communication bridge between executives, internal teams, clients, partners, and external stakeholders.
  • Support administrative activities such as expense tracking, invoice coordination, and business operations tasks.
  • Identify opportunities to improve workflows, increase efficiency, and strengthen operational processes.
Requirements:

The ideal candidate is a highly organized and proactive professional with executive support experience, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

  • 3+ years of experience supporting founders, executives, senior leaders, or similar high-level stakeholders.
  • Previous experience as an Executive Assistant, Executive Operations Associate, Operations Coordinator, or related role.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent written and verbal English communication skills.
  • Ability to prioritize competing responsibilities and manage changing priorities effectively.
  • Strong problem-solving skills with the ability to work independently and take initiative.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Experience coordinating calendars, meetings, and stakeholders across multiple time zones.
  • Comfortable using productivity tools such as Google Workspace, Microsoft Office, Slack, Notion, Zoom, or similar platforms.
  • Experience supporting startup founders, technology companies, SaaS businesses, or high-growth organizations is a plus.
  • Familiarity with AI productivity tools such as ChatGPT, Claude, or similar platforms is an advantage.
  • Ability to work according to US business hours or align with executive schedules.
