Role:
The primary function of this position is to process all incoming and outgoing mail in a timely manner. This position accurately posts member financial transactions and other member service requests, and is responsible for coordinating, scheduling, and distributing mail throughout the credit union with our Courier partner.
Essential Functions & Responsibilities:
35% Sorts and processes incoming mail. Completes any actionable items – financial transaction, member service transactions, sorting of documents or mail throughout the Credit Union. Processes returned correspondence received by the credit union and marks accounts accordingly.
25% Coordinates mail pickup and delivery between Courier partner and Credit Union buildings in all regions.
25% Maintains the postage meter to include supplies (Sealant, ink cartridges, certified mail labels, etc.) Submits monthly postage meter funds report as well as disbursements requests to the Accounting department.
10% Maintains vendor relationships for all services pertaining to mail and courier services.
5% Performs other job-related duties as assigned.
Performance Measurements:
1. Responsible for daily processing delivery and pickups efficiently and with a minimum number of errors with incoming and outgoing mail.
2. Accurately posts transactions and completes member service requests accurately in accordance with Gulf Winds policies and procedures.
3. Responsible for distribution of interoffice mail to include coordination of mail delivery for the Alabama and Tallahassee regions.
4. Provides friendly, professional, and accurate service and support to all team members.
5. Communicates status of assigned duties through all appropriate channels which may include email, phone, text or in person.
6. Complies with all applicable rules, regulations, and policies, including but not limited to BSA, OFAC and Physical Security.
7. Maintains the postage meter to include required supplies (i.e., sealant, ink cartridges, certified mail labels, etc.). Submits reports and disbursement requests to the Accounting Department as needed.
Knowledge and Skills:
Experience One year to three years of similar or related experience.
Education A high school education or GED.
Interpersonal Skills Normal courtesy in dealing with others is required. Work involves contact, usually within the organization and with co-workers but may involve contact with vendors or members. Contact usually involves routine, non-sensitive issues.
Other Skills Ten key calculator and computer keyboard by touch. Must be good with detail to deal with numbers and names. Ability to read, write, comprehend, and speak English clearly.
Normally expected to work between 8:00 a.m. and 5:00 p.m., Some nights and/or weekends required. Must adhere to safety rules and regulations.
Physical Requirements Must be able to lift 50lbs or more including but not limited to paper supplies and full coin bags.
Work Environment May be required to travel to buildings other than their assigned location. The position is based in-office in our Pensacola, FL market, operates primarily in an office setting, and routinely uses standard office equipment such as computers, printers, and phones. This position requires consistent presence in the office to effectively collaborate with team members and fulfill job responsibilities. It requires the ability to actively participate in conference calls and meetings with other Credit Union team members and vendors. The normal expected work schedule is Monday through Friday, 8:30a.m. to 5:00p.m. Occasional after-hours work or travel may be required to meet project deadlines or attend conferences, seminars, or client meetings. Must adhere to safety rules and regulations.
