POSITION SUMMARY:
The Front Office Admin Assistant will perform administrative tasks and services to support effective and efficient operations of the organization. The Front Office Admin Assistant will be responsible for providing administrative support and ensuring the smooth day-to-day operations of the administrative side of the business. This role will serve as a secondary point of contact for the front office.
MINIMUM REQUIREMENTS:
Education
- Required: High School/GED diploma or vocational school equivalent
- Preferred: Associate’s degree in business or an equivalent field.
- Required: Minimum of two (2) years’ experience in an administrative role or related field.
Skills, Knowledge, Abilities
- Must be able to sign and abide by Company’s employee manual, confidentiality agreement and employment screenings.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Experience with Microsoft Office 365 applications (Word, Excel, PowerPoint, Etc.).
- Ability to handle company sensitive documentation with discretion.
- Strong critical thinking skills with the ability to self-identify issues.
- Must be able to demonstrate the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
- Excellent interpersonal skills with the ability to build positive relationships, communicate effectively, and provide exceptional service to clients, visitors, and team members.
JOB RESPONSIBILITIES AND DUTIES:
- Responsible for promptly answering incoming calls by the third ring with professionalism and directing the call to the appropriate personnel.
- Act as a secondary point of contact for the Front Office by greeting and assisting with visitors, clients, and vendors in a professional and friendly manner.
- Assist with managing appointments and meeting room bookings.
- Perform general administrative duties such as filing, scanning, organizing, data entry, and document preparation for departments across the organization, as assigned.
- Handle incoming and outgoing mail, packages, and deliveries as assigned.
- Assist with maintaining inventory of office, safety cabinet, and breakroom supplies; report to designated staff.
- Assist with scanning, filing, and organizing daily incoming documents such as packing slips, receiving paperwork, and inspection reports.
- Develop and maintain continuous improvement processes for departmental organization.
- Maintain and manage accurate records and ensure confidentiality of company sensitive documentation across the organization.
- Act as a secondary company representative at events such as networking, community outings, and career fairs as assigned when primary personnel are unavailable.
- Digitalize and organize sensitive company documents across the organization.
- Provides clerical support to the HR department as needed.
- Performs other duties as assigned.
