Join a Growing Gastroenterology Team!

We are a busy, physician-owned Gastroenterology practice with 33 providers dedicated to delivering exceptional patient care. As our practice continues to grow, including the addition of new providers and expanded procedure capacity, we are seeking friendly, professional, and detail-oriented team members to join our Communications team.

As a Communications Coordinator, you will serve as the voice of our organization and play a key role in creating a positive experience for patients and callers. This position is ideal for someone who enjoys helping others, excels at multitasking, and thrives in a fast-paced environment where communication and customer service are essential.

Position Summary

The Communications Coordinator serves as the primary point of contact for incoming telephone communications and helps connect patients, providers, staff, and external callers with the appropriate department or individual. This role provides exceptional customer service while ensuring calls are routed accurately, messages are documented clearly, and patient information is handled confidentially.

Key Responsibilities

  • Answer incoming telephone calls promptly, professionally, and courteously.
  • Screen, route, and transfer calls to the appropriate providers, nurses, departments, or staff members.
  • Obtain and accurately document caller information and detailed messages.
  • Assist patients and callers by providing information within established guidelines and directing inquiries appropriately.
  • Identify urgent situations and escalate concerns following established procedures.
  • Maintain phone queues, communication systems, and call routing processes.
  • Enter and update patient information within electronic medical record and practice management systems.
  • Support efficient communication between patients, providers, and staff across the organization.
  • Maintain patient confidentiality and comply with HIPAA requirements.
  • Participate in quality improvement initiatives, team meetings, and ongoing professional development.


Qualifications

Required:

  • High school diploma or equivalent.
  • Minimum of one year of computer experience.
  • Strong customer service, communication, and active listening skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Ability to remain calm, professional, and compassionate when interacting with patients and callers.

Preferred:

  • Previous experience in a healthcare, medical office, call center, customer service, or related environment.
  • Experience operating a multi-line telephone system.
  • Experience using electronic medical records (EMR) or healthcare communication systems.
  • Familiarity with medical terminology.


Schedule

Full-Time | 36-40 Hours per Week
  • Monday-Friday from 7:50am-4:30pm
  • Daytime business hours
  • Enjoy a stable schedule with no weekends and rotating Friday afternoons off!
