Job Description
We're looking for a self-starter who thrives in a growing organization without rigid processes. You'll support key HR functions and take initiative on tasks. We're building our HR systems, so we need someone who can work independently, ask good questions, and collaborate with leadership on the best approach.
KEY RESPONSIBILITIES:
Recruiting & Candidate Management
- Screen applications and rate candidates against our criteria
- Schedule and confirm interviews with candidates and hiring panels
- Provide weekly recruitment updates on pipeline status, scheduled screenings, and panel interviews
Employee File Administration & Compliance
- Audit and organize personnel files—identify what's missing and create a system that works
- Establish tracking systems for required documentation (offer letters, tax forms, I-9s, benefits info, etc.)
- Coordinate collection of missing documents from employees or management
- Support employee file audits and compliance requests
- Track tax withholding and benefits documentation
General HR Support:
- Assist with payroll tasks in HRIS
- Coordinate FMLA tracking and administration
- Help organize policy files
System Migration & Process Improvement
- Support the transition as we migrate our HR system
- Help refine processes as the organization grows
REQUIREMENTS
- Self-starter mentality — you ask clarifying questions, then own it
- "Figure it out" attitude — comfortable proposing solutions, not just identifying problems
- Strong organizational skills — you see gaps and create systems
- Problem-solver — you spot inefficiencies and suggest better ways
- Clear communicator — professional in writing, personable with candidates
- Comfortable with spreadsheets, SharePoint, and Paychex, or willing to quickly learn
- Discretion — able to handle sensitive employee information with professionalism
- Adaptability — you thrive in a growing organization where change is normal
Nice to Have
- Previous recruiting or HR experience
- Experience with system migrations or transitions
- Familiarity with FMLA or compliance requirements
