Job Description
Position Summary
The Administrative Assistant is responsible for providing administrative support to all departments. The Administrative Assistant is expected to maintain a positive attitude and provide excellent customer service to all individuals who enter the building or contact the agency.
Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following:
- Opening the agency each day by unlocking doors, turning on lights, and obtaining money drawer from CFO safe
- Admitting clients into the agency via door entrance or elevator
- Answering and transferring calls and voicemails appropriately
- Checking front desk and employee email daily
- Greeting clients and having them sign the appropriate forms when they arrive
- Collecting client photo IDs and information changes regarding demographics and insurances
- Scheduling clients for impaired driving program and clinical department as needed
- Accepting and documenting payments for services if applicable and provide receipts for payments
- Calling clients to discuss treatment recommendations and sending rec. letters to clients as needed
- Preparing client payment documents for next day appointments and sending the documents for fiscal staff review
- Keeping agency forms updated when appropriate
- Processing outgoing mail and distribute incoming mail daily
- Reconciling the payment drawer at shift change
- Placing money drawer in CFO safe at end of day
- Ensuring all doors are locked and radio and lights are turned off
- Other duties as assigned
- Highschool Diploma/GED;
- One (1) year full-time experience performing clerical and/or secretarial duties in a health care setting; OR
- Any experience, education and training that will provide the knowledge and skills necessary to perform the duties of this position
- Knowledge of office procedures and practices
- Knowledge of Microsoft Office and similar computer programs
- Knowledge of State AOD system
- Ability to function in a reception area/office environment
- Ability to operate agency phone system efficiently
- Ability to handle agency scheduling system
- Ability to communicate well in all aspects of job
- Ability to comply with agency, county and State mandates
- Ability to maintain excellent interpersonal skills
