This Communications & Events Specialist role is a high-visibility opportunity focused on delivering large-scale, multi-day conference programs for a federal client. You will play a central role in shaping attendee experience through integrated communications, event marketing, and operational execution. The position blends strategic messaging with hands-on event logistics, including registration management, onsite coordination, and stakeholder engagement. You will work across multiple teams and vendors to ensure seamless delivery of complex events involving speakers, sponsors, exhibitors, and government stakeholders. The role requires strong organizational skills, attention to detail, and the ability to manage multiple parallel workstreams in fast-paced environments. You will also contribute to continuous improvement by analyzing engagement data and optimizing future event strategies. This is an impactful role where your work directly shapes the success and visibility of high-profile public sector events.

Accountabilities:

Lead the planning and execution of integrated communications and marketing strategies supporting large-scale conference programs, ensuring strong attendee engagement and brand consistency.

  • Develop and manage event communications across email campaigns, websites, social media, and attendee outreach materials.
  • Oversee attendee and speaker registration lifecycle, including platform configuration, reporting, and onsite check-in operations.
  • Manage attendee engagement strategies to increase participation, satisfaction, and overall event experience.
  • Coordinate onsite registration operations, including staff training, workflow execution, and issue resolution.
  • Collaborate with internal creative and production teams to deliver branding, signage, and event collateral.
  • Track engagement metrics, registration trends, and attendee feedback to inform continuous improvement efforts.
  • Manage vendor coordination, timelines, and operational documentation to ensure seamless event delivery.
  • Support budget tracking, invoice processing, and post-event financial reconciliation activities.

Requirements:
5–10 years of experience in event planning, conference operations, registration management, or communications/marketing roles.

  • Bachelor’s degree in communications, marketing, hospitality, public relations, event management, or equivalent experience.
  • Proven experience executing communications campaigns for events, including email marketing and attendee engagement initiatives.
  • Hands-on experience with event registration platforms such as Cvent, Swoogo, Whova, Eventbrite, or similar tools.
  • Strong experience managing large-scale, multi-stakeholder conferences or events in fast-paced client-facing environments.
  • Excellent organizational, multitasking, and problem-solving skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills with a high level of professionalism and customer service orientation.
  • Proficiency with Microsoft 365 and familiarity with collaboration tools such as Teams, Slack, Jira, or SharePoint.
  • Ability to work independently while coordinating effectively across cross-functional teams and external partners.
  • Flexibility to support onsite event execution, including occasional evenings, weekends, and limited travel (<10%).
