Job Description
The Manager of Business Process & Business Systems will play a key role in supporting Behlen Building Systems by improving business processes, developing tools and dashboards, and serving as the business analyst for the new project management application that will become central to the buildings quote to cash process.
This role will work cross functionally with Sales, Estimating, Project Management, Engineering, Manufacturing, Finance, IT, and other supporting functions to improve visibility, reduce rework, strengthen accountability, and ensure business systems support how Behlen Building Systems needs to operate. The Manager of Business Process & Business Systems will support improvements using today’s tools while helping define future state workflows, business requirements, and reporting needs for new systems.
Responsibilities:
Business Process Improvement:
- Support the review, documentation, and improvement of Behlen Building Systems’ quote to cash process, including quoting, estimating, order entry, project management, engineering release, production readiness, shipment, invoicing, and customer follow up.
- Identify process gaps, bottlenecks, rework loops, unclear handoffs, manual workarounds, and system limitations that impact speed, accuracy, visibility, and customer experience.
- Develop current state and future state process maps to help leadership understand where improvements are needed.
- Partner with functional leaders to create standard work, process documentation, approval gates, handoff expectations, and accountability points.
- Support process improvements using current tools while helping determine which gaps should be addressed in future system enhancements.
Business Systems & Project Management Application Support:
- Serve as the primary business analyst for Behlen Building Systems’ new project management application.
- Gather, document, and validate business requirements from all functions involved in the quote to cash process.
- Translate business needs into functional requirements, workflow maps, user stories, data requirements, reporting needs, and acceptance criteria.
- Partner with IT, developers, vendors, and business leaders to ensure the project management application supports Behlen’s future operating model.
- Support system demos, user feedback sessions, user acceptance testing, issue tracking, training documentation, and successful adoption of the application.
- Help ensure the new application improves visibility and execution across Sales, Estimating, Project Management, Engineering, Manufacturing, Finance, and Customer Experience.
Business Intelligence, Dashboards & Reporting:
- Develop, maintain, and improve dashboards, scorecards, and reporting tools that provide visibility into business performance.
- Support reporting related to quote backlog, order activity, quote to order conversion, project status, engineering flow, production readiness, shipments, margin, quality, and customer experience.
- Partner with leaders to define key performance indicators and ensure reports are accurate, useful, and tied to business priorities.
- Create visuals, summaries, and trend analysis to help leadership identify risks, opportunities, and action items.
- Help reduce manual reporting, duplicate data entry, and inconsistent reporting practices.
Cross Functional Support:
- Serve as a process, reporting, and systems resource for all Behlen Building Systems functions.
- Facilitate cross functional discussions to clarify ownership, improve handoffs, and solve process breakdowns.
- Support business initiatives by tracking progress, preparing analysis, and helping convert ideas into practical execution plans.
- Provide direct support to the President and Buildings Leadership Team on business reviews, strategic initiatives, process improvement efforts, and system transformation.
- Help create a stronger operating rhythm by connecting strategy, process, tools, data, and follow through.
Requirements:
- 10+ years of experience in business operations, business analysis, sales operations, commercial operations, process improvement, continuous improvement, or related function.
- Bachelor’s degree in Business, Operations, Data Analytics, Supply Chain, Engineering, or related field preferred.
- Strong experience developing reports, dashboards, scorecards, process documents, and business analysis tools.
- Advanced proficiency in Microsoft Excel and experience with Power BI, Tableau, or similar business intelligence tools.
- Experience gathering business requirements, documenting workflows, supporting user acceptance testing, and working with system development or implementation teams.
- Ability to work cross functionally and influence teams without direct authority.
- Strong organizational, analytical, documentation, and problem solving skills.
- Ability to translate business needs into clear process requirements, reporting needs, and system functionality.
- Excellent written and verbal communication skills.
- Experience with CRM, ERP, MBS, Fusion, IFS, AirBuildr, or similar systems preferred.
- Lean, Six Sigma, continuous improvement, or operational excellence experience preferred.
- Experience in manufacturing, construction, engineered to order products, metal buildings, or commercial operations preferred.
