The Office Administrator is responsible for the day-to-day administration and hospitality of the Suvida Houston administrative office, providing calendar, correspondence, and light travel support to the Market President and other Houston-based leaders. This role requires a professional, detail-oriented individual who can manage multiple priorities in a fast-paced, in-person office environment. Essential responsibilities consist of but not all inclusive:
Administrative Support:
· Schedule onsite meetings, reserve conference rooms, and prepare meeting invitations and calendar appointments.
· Support calendar and light travel coordination for the Market President and other Houston office leaders as needed.
· Draft routine correspondence, emails, and internal communications.
· Prepare meeting packets and basic presentation materials.
· Maintain filing systems, records, and office documentation, including scanning, copying, and organizing documents.
· Perform data entry and maintain administrative databases.
· Monitor shared office email inboxes and route items to the appropriate owner.
Office Operations & Hospitality:
· Greet visitors, employees, vendors, and guests in a professional and welcoming manner.
· Order and maintain office supplies, and coordinate copier, printer, and other office equipment requests with vendors.
· Coordinate office hospitality for meetings, including refreshments, room setup, and cleanup.
· Manage office snack ordering and keep supplies neatly stocked.
· Receive and distribute mail and deliveries.
· Maintain reception, kitchen, and other common areas in a clean and organized manner.
· Coordinate visitor parking and building access as needed.
General Support:
· Support special projects and department administrative needs as assigned.
· Perform other duties as assigned.
What You’ll bring - Education Requirements
· High school diploma or equivalent required
· Bachelor’s degree preferred
What You’ll Bring - Experience Requirements
· Previous experience in an office administration, reception, or executive assistant role preferred.
· Excellent customer service skills with a professional, welcoming manner toward visitors and staff.
· Strong organizational skills, attention to detail, and ability to multitask and manage time effectively.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
· Excellent communication skills, both written and verbal.
· Bilingual in English and Spanish highly preferred
· Ability to work independently and as part of a team, with professionalism and confidentiality.
Physical Demands
While performing the duties of this job, the employee is required to sit for prolonged periods of time, stand, walk, talk, hear, and reach with hands and arms. Hand eye coordination is necessary to operate computers and other office equipment; must be able to operate a motor vehicle. When representing Suvida Healthcare at external events, this role may also be required to stand for prolonged periods of time, kneel, crouch, bend and lift, and able to move up to 30 pounds.
