Job Summary

The Assistant Property Manager provides first-class property management services and assists the Property Manager in overseeing an industrial portfolio. Day-to-day responsibilities include, but are not limited to, assisting with building operations, enhancing tenant relations, and customer service. The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, the ability to maintain a realistic balance among multiple priorities, collaborate well with other team members and demonstrate strong work ethic and fiduciary obligations.

Requirements:

Key Responsibilities

  • Provide daily assistance and support to Property Manager in management of portfolio or building.
  • Property scheduling and communication with tenants and vendors.
  • Work with the Property Manager to resolve building issues.
  • Work closely with and supervise vendors to ensure compliance with service contracts.
  • Recommend and/or authorize vendor contracts as appropriate.
  • Conduct routine property inspections to prevent/identify problems and exposures.
  • General understanding of lease documents, operations and procedures manuals.
  • Receive work order requests and coordinate with the building technician or vendor(s) as appropriate.
  • Work with Property Manager on move-ins/move-outs and verify insurance.
  • Follow established A/R guidelines including contacting tenants regarding follow-up on rent payment status and assist Property Manager in lock-outs as necessary.
  • Review and ensure the accurate coding of invoices for payment.
  • Assist the Property Manager in the preparation of the monthly reporting package/financial reports.
  • Assist the Property Manager with the preparation, assembly, review and implementation of the annual operating and capital budgets, as well as operating expense reconciliations.
  • Assist the Property Manager as appropriate in coordinating electricity procurement and real estate tax review processes for properties.
  • Work with the Property Manager to facilitate property management, accounting, leasing, investor relations, marketing and construction needs.

Qualifications & Experience

  • Bachelor’s Degree preferred, high school diploma required.
  • 5 years of experience in real estate, property and project management/operations.
  • Excellent oral and written communication skills.
  • Proficiency with Microsoft Outlook, Excel, Word.
  • Self-motivation, determination and initiative in a team environment.
  • Demonstrate high attention to detail.
  • Ability to multi-task effectively in a fast-paced work environment.
  • Excellent customer service skills.
  • Some accounting and financial knowledge and skills.
  • Readily asks questions and seeks feedback.
  • Experience with MRI, Avid, Sharepoint and CR Solutions software preferred.
  • Ambition and desire to learn and grow a career in the property management industry.

Work Environment & Travel

  • Hybrid work model based primarily in a professional office environment.
  • Ability to remain in a stationary position (e.g., seated at a desk) for extended periods.
  • Frequent use of computers and digital communication platforms.
  • Regular local travel required for property inspections, tenant meetings, and vendor management.
