Job Description
Position Summary
The Accounting Generalist serves as the on-site accounting representative at the dealership/store level and acts as a liaison between dealership operations and the centralized Accounting Department. This position is responsible for validating vehicle deals, ensuring compliance with accounting policies and procedures, maintaining accurate deal logs, and supporting operational accountability across all departments. The Accounting Generalist also serves as a shared services partner with Talent Management by providing an on-site presence for employee questions, new hire support, and administrative assistance while escalating all employee relations matters to Talent Management.
Reporting Structure
Direct Reporting Relationship: Office Manager
Dotted-Line Reporting Relationship: Talent Management Team
Primary Store-Level Partners: Store Director, Sales, Service, and Parts
Essential Duties and Responsibilities
Deal Validation & Accounting Support
· Review and validate all vehicle deals for completeness, accuracy, and compliance prior to submission to Headquarters.
· Identify missing documentation, errors, or discrepancies and coordinate corrections with department managers and the Store Director.
· Maintain an accurate deal log tracking all deals reviewed, validated, submitted, and funded.
· Ensure all required supporting documentation is included before forwarding deals to Headquarters for processing.
· Serve as the primary point of contact between dealership operations and centralized accounting functions.
· Assist Headquarters Accounting with requests for information, corrections, and supporting documentation.
Compliance & Process Management
· Monitor dealership compliance with accounting policies, procedures, and internal controls.
· Identify process deficiencies and communicate corrective actions to management.
· Assist with implementing and reinforcing accounting best practices and standardized operating procedures.
· Support month-end close activities by ensuring required documentation and reconciliations are completed timely.
Administrative Functions
· Prepare and balance daily cash reports and deposits.
· Maintain accountability for cash handling procedures and internal controls.
· Assist customers and employees with routine accounting-related inquiries.
· Maintain organized accounting records and documentation in accordance with company retention requirements.
Communication & Collaboration
· Build strong working relationships with Store Directors, department managers, Headquarters Accounting, and Talent Management.
· Communicate professionally and effectively with all levels of the organization.
· Participate in training and continuous improvement initiatives.
· Support special projects and acquisitions as assigned
Requirements:Qualifications
Education & Experience
· Preferred of 2 years of accounting, bookkeeping, dealership accounting, office administration, or related experience required.
· Automotive dealership experience preferred.
· Experience with dealership management systems (DMS) – DealerTrack and accounting software preferred.
Knowledge, Skills, and Abilities
· Strong attention to detail and accuracy.
· Understanding of accounting principles and internal controls.
· Ability to identify discrepancies and resolve issues effectively.
· Excellent organizational and time management skills.
· Ability to maintain confidentiality and professionalism.
· Proficiency in Microsoft Excel, Outlook, and other business software applications.
· Ability to work independently while collaborating with centralized departments.
