Office Administrative & Operations Executive
Job Overview:
We are seeking an experienced and dynamic Office Administrator to join our innovative IT company with a thriving office located in a shared workspace. The ideal candidate will play a pivotal role in ensuring the smooth day-to-day operations of the office, facilitating effective communication, and managing administrative functions crucial to our company's success.
Key Responsibilities:
Reception and Greeting:
Welcome visitors, clients, and employees to the office.
Direct visitors to the appropriate personnel or meeting rooms.
Meeting Room Coordination:
Schedule and coordinate meeting room bookings.
Ensure meeting rooms are set up with necessary equipment and supplies.
Assist in arranging virtual meetings and video conferences.
Notify employees of visitor arrivals.
Communication Handling:
Manage general email inquiries and forward them to the appropriate departments.
Ensure that all communication channels are monitored and responded to promptly.
Serve as a central point for communication between employees, departments, and external parties.
Disseminate important information and announcements effectively.
Security and Safety:
Monitor and enforce security protocols for the office.
Work with building security to ensure a safe working environment.
Event Coordination:
Assist in organizing company events, meetings, or gatherings.
Coordinate logistics for company-sponsored events.
Vendor Management:
Coordinate with vendors for office supplies, equipment, and services.
Ensure timely payment of invoices and maintain good relationships with vendors.
Joining Kit Management:
Manage welcome kits for new employees.
Coordinate with HR to ensure that new employees receive necessary documentation, access cards, and welcome materials.
Facilitate the onboarding process for new hires.
Shared Workspace Office Coordination:
Collaborate with shared workspace management to ensure a smooth and efficient office environment.
Address any facility-related issues promptly.
Manage access cards and coordinate with the shared workspace staff for any access-related requirements.
Asset Tracking and Management:
Maintain an inventory of IT equipment, including laptops, desktops, and peripherals.
Assign and track equipment issued to employees.
Coordinate with the IT department for equipment maintenance, repairs, or replacements.
Vendor Coordination:
Collaborate with vendors to procure office supplies, furniture, and IT equipment.
Manage relationships with various vendors, ensuring timely delivery of goods and services.
Negotiate contracts and pricing with vendors to optimize costs.
Office Space Planning:
Assist in planning and optimizing office layout for maximum efficiency.
Coordinate workspace allocation for employees and teams.
Implement any necessary changes to support the company's growth and evolving needs.
Employee Services:
Act as a point of contact for employees regarding office-related queries or concerns.
Organize employee engagement activities or events within the office space.
Budget Management:
Assist in managing the office budget, including expenses related to facilities, equipment, and supplies.
Track and report expenditures, ensuring adherence to budgetary constraints.
Document Management:
Maintain and organize important documents, such as contracts, invoices, and facility-related agreements.
Create and update documentation related to office procedures and protocols.
Qualifications:
· A bachelor’s degree in business administration, Office Administration, or a related field.
· A minimum of 3yrs of relevant experience in office administration with strong organizational and multitasking abilities.
· Proficient in using office productivity tools such as Microsoft Office suite with excellent verbal and written communication skills.
· Ability to foster a positive and collaborative working environment.
· Proactive in addressing challenges and finding practical solutions.
· Openness to learning and implementing new technologies or office management systems.
· Understanding of legal and regulatory requirements related to office operations and administration.
