We're looking for an Administrative Assistant to help support these vital programs. If you enjoy a role with defined busy seasons and a lighter summer schedule, this is the opportunity for you!

What You'll Do

In this dynamic role, you'll play a crucial part in making Medicare season and tax season run smoothly. Your responsibilities will include:

  • Volunteer Coordination: Train and schedule volunteers who assist with appointments during Medicare open enrollment and tax prep season.
  • Client Support: Screen clients for eligibility, answer questions, and schedule their Medicare and tax preparation appointments.
  • Data Management: Accurately enter and update information in program databases.
  • Frontline Assistance: Greet clients during intake, answer calls, and ensure a warm, welcoming experience.
  • Event Support: Organize materials for Medicare education seminars and outreach events.

  • Experience with Microsoft Office and Google Workspace is a plus (but not required).
  • The ability to travel with MAP/TAP on the Move! A program where we bring assistance to seniors who can't always come to us, a valid driver's license and car insurance is required.
Training and Certifications
  • In-house training on Medicare, Medicare Part D, and tax assistance.
  • Certification as a Medicare Assistance Program (MAP) Counselor.
  • IRS Volunteer Standards of Conduct Certification (VITA/TCE).

CERTIFICATION, LICENSES, REQUIRED TRAINING:

  • Mandatory Medicare, Medicare Part D, Part D Low-Income Subsidy, Medicare's SMP program, Medicare supplements, Medicare Advantage and other related health coverage plans training will be provided by LIFE Senior Services and the Oklahoma Insurance Department's Medicare Assistance Program. (done in house)
  • Completion of MAP Counselor training and testing required (done in house)
  • Completion of IRS Form 13615, Volunteer Standards of Conduct-VITA/TCE (done in house)
  • Previous Medicare experience, preferred but not mandatory
  • Valid Driver's license and insurance
  • Dependable transportation is required.

SKILLS:

  • Flexible and able to accept change easily (including work schedule)
  • Self-motivated and the desire to continually educate themselves of changes in Medicare rules, laws, products and plans and the effect on Oklahoman's and volunteers
  • Ability to establish and maintain effective working relationships with clients, staff, volunteers, and the community
  • Ability to follow oral and written instruction
  • Excellent verbal communication skills while working with staff, volunteers and outside clients
  • Assist in presentations for large and small groups
  • Ability to work independently and as a member of a team
  • Positive attitude and professional appearance.
  • Working experience in Microsoft Office and Google Doc products including but not limited to Word, Excel, Outlook and Google Docs (Preferred, but not required)

PHYSICAL REQUIREMENTS:

  • Ability to lift up to 30 pounds for office and event work.
  • Requires sitting, walking, standing, bending; good hearing and visual capability.
