About This Position
Qualifications:
Required:
- Associates Degree Required
- Poise and discretion to work closely with all levels of hospital employees as well as Trustees, physicians, and major donors
- High energy and enthusiastic
- Detail-oriented and highly organized
- Political savvy, tact, sensitivity, mature judgment; ability to work successfully in a complex institutional environment
Preferred:
- Bachelors Degree Preferred
Essential Functions:
- Serves as front-line point of contact for department.
- Serves as front-line office management, supporting VP and Development Manager in day-to-day work and special projects and other administrative tasks and assignments as needed (IT requests, maintaining office supplies, processing invoices, credit card reconciliation).
- Manage Departmental calendars
- Prepares financial updates for executive leadership and board. Works with finance team as needed to prepare new funds, facilitate fund transfer with hospital, work with hospital on fund disbursement.
- Manages Raiser’s Edge database including reports, queries, and financial information and assists other RE users with any technical issues or concerns.
- Deposits all gifts and processes all internal and external check requests. Works closely with Corporate Finance and Database Management Departments to insure timely input of all gifts, proper acknowledgement, and accurate financial reporting.
- Provides support for Foundation and Auxiliary special events and vendor sales including scheduling space, generating mailing lists, attending Committee meetings, preparing raffle applications and reports, and tracking revenue and expenses.
- Manage all departmental mailings (including event invitations, special letters, and pledge reminders); work with central gift processing to procure accurate mailing lists and ensure appropriate data entry.
- Provides administrative and logistical support for employee campaign and scholarship award programs.
- Prepares monthly, quarterly, and yearly financial reports for County, State, and Federal grants.
- Supports VP and Development Manager in preparing materials for quarterly full Board meetings and Executive Committee meetings including meeting notices, Board packets, and presentations. Attends and takes minutes at Board meetings.
