Job Description

JOB TITLE: Part-Time Receptionist

EMPLOYER: Wheeler Avenue Baptist Church

DEPARTMENT: Support Staff

REPORTS TO: Support Service Manager

SALARY: $15.00 per Hour


SUMMARY: Serves as initial contact for all callers and visitors to the church.


DUTIES AND RESPONSIBILITIES:

  • Answers, screens, and directs calls on a multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to the appropriate employee’s voicemail or email.
  • Clears messages each morning and delivers them to appropriate employees.
  • Meets and greets all visitors; determines their needs and directs them to the appropriate employees/locations.
  • Responds to visitors, clients, and employees in a courteous and professional manner.
  • Opens and routes incoming mail.
  • Prepares and forwards outgoing mail and packages.
  • Composes and types routine correspondence as required.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
  • Organizes and maintains file system; files correspondence and other records.
  • Orders and maintains supplies, arranges for equipment maintenance, and keeps reception area organized.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Access and navigate the ShelbyNext membership system and Event Management System. To maintain knowledge of church events and scheduling information.
  • Maintain paper and toner in the copier on the first-floor level
  • Performs other related duties as assigned by management.

QUALIFICATIONS:

  • High school diploma or GED equivalent, two to four years related experience, or equivalent combination of education and experience.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Word, Outlook, and Excel and navigating the internet.
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Commitment to excellence and high standards.
  • Strong organizational skills; able to manage priorities and workflow.
  • Keystrokes a minimum of 45 wpm.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
  • Bilingual skills are a plus.
  • Professional appearance and demeanor
  • Ability to perform diversified clerical functions and basic accounting procedures.

WORK SCHEDULE:

  • Regular Weekly Work Schedule
    • Monday-Thursday: 1:00 PM to 5:00 PM
    • Saturday: 9:00 AM to 2:00 PM
    • Sunday: 7:00 AM to 2:00 PM
  • On occasion, need to be available on call to cover the night-time/day-time receptionist scheduled on an as-needed basis.
    • Night-time Schedule, Monday – Thursday: 5:00 PM to 9:00 PM
    • Day-time Schedule, Monday – Friday: 9:00 AM to 5:00 PM
