About This Position

Job Summary:

The Manager, Fleet Operations plays a pivotal role in the day-to-day oversight and long-term success of Hilldrup’s long-distance Van Operator fleet. This role ensures the team meets all safety, compliance, quality, and documentation standards through ongoing training, performance monitoring, and process improvement initiatives.

Supervisory Responsibilities:
  • Oversees or delegates responsibility for the day-to-day workflow of the department and staff.
  • Conducts performance evaluations that are timely and constructive.
  • Handles discipline and termination of employees as needed and in accordance with company policy.
Duties/Responsibilities:

Onboarding & Training

  • Lead and continuously improve the onboarding process for all new Van Operators.
  • Provide hands-on training for company systems including Flex, Stride, and Samsara, along with proper documentation and paperwork procedures.
  • Create onboarding materials and training resources to enhance new driver readiness and long-term success.

Safety, Compliance & Quality Assurance

  • Serve as the Agent Safety Representative (ASR) for the Interstate Fleet; represent the fleet in internal safety meetings and initiatives.
  • Monitor Van Operator performance to ensure alignment with safety, claims, and quality standards.
  • Oversee the random drug screening program and ensure compliance with DOT regulations.
  • Partner with the Claims Department to review incident data, identify trends, and implement performance improvement strategies.

Driver & Fleet Support

  • Act as the primary point of contact for Van Operators, providing timely support across logistics, operations, and administrative needs.
  • Collaborate with the Accounting and Billing teams to manage commissions, payments, and documentation compliance.
  • Coordinate Comdata fund loads, shuttle dispatches, and ensure timely submission of required driver paperwork.
  • Support the VP of Interstate Operations with corrective actions and terminations, as needed.

Logistics & Equipment Coordination

  • Oversee the inventory, distribution, and return of equipment (e.g., pads, dollies, straps) for the Hauling Branch.
  • Facilitate driver access to packing materials and tools from warehouse locations.

Cross-Functional Collaboration

  • Build strong relationships with internal teams (HR, Safety, Claims, Finance) to drive operational efficiency and a positive driver experience.
  • Contribute to cross-departmental initiatives and special projects as assigned.
Qulifcations
  • Bachelor’s degree preferred in business, logistics, supply chain, or a related field; equivalent combination of education and relevant experience will be considered in lieu of a degree.
  • 3-5 years of experience in transportation, logistics, or fleet operations required; supervisory experience required.
  • Strong understanding of DOT regulations, fleet safety standards, and claims handling processes.
  • Proven ability to coach, motivate, and communicate effectively with drivers and team members.
  • Experience with fleet technology systems (e.g., Samsara, Flex, Stride) is highly desirable.
  • Strong organizational, analytical, and time-management skills with the ability to juggle competing priorities.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient with Microsoft Office Suite or related software.
Physical Requirements:
  • Ability to sit or stand for extended periods while working on a computer or in meetings.
  • Must be able to lift up to 25 pounds occasionally (e.g., moving equipment like pads or dollies).
  • Must be able to walk, bend, stoop, and reach as necessary when inspecting fleet equipment or supporting warehouse access.
  • Capable of working in both office and warehouse environments, including occasional exposure to outdoor weather conditions.
  • Occasional travel may be required to support fleet locations or attend off-site meetings and events.
