Job Description

The Role at a Glance:

Responsible for the end-to-end management and delivery of workplace services projects including relocations, decommissions, small buildouts, furniture installations, and other facility-related initiatives. Serves as the primary point of contact for assigned clients and projects, overseeing planning, budgeting, scheduling, vendor coordination, execution, risk management, and project closeout activities.


This role independently manages project delivery through collaboration with internal teams, vendors, and client stakeholders while ensuring operational execution aligns with contractual commitments, financial objectives, and client expectations. Projects require a combination of technical, logistical, financial, and leadership skills, as well as the ability to make operational decisions in dynamic project environments.

Duties/Responsibilities:

  • Own the client relationship and overall project delivery for assigned projects, serving as the primary point of contact for client communication, issue resolution, and project outcomes.
  • Manage assigned workplace services projects from initiation through closeout, ensuring successful execution of scope, schedule, budget, and quality expectations.
  • Collaborate with internal teams, vendors, and stakeholders to define project scope, objectives, schedules, logistics plans, and operational requirements.
  • Develop and maintain project schedules, milestone tracking, and sequencing plans to support efficient project execution and alignment with contractual commitments.
  • Lead proactive communication across all project stakeholders, identifying risks, operational challenges, and client concerns early while implementing effective mitigation strategies.
  • Direct and manage vendor activities, ensuring compliance with project requirements, safety standards, building regulations, company procedures, KPIs, and client expectations.
  • Monitor vendor performance, project progress, and field execution activities, making operational adjustments as needed to maintain schedule and delivery objectives.
  • Manage project financial performance including budget tracking, forecasting, cost control, change management, and margin protection.
  • Review project scope changes and coordinate development, documentation, and administration of change orders to prevent scope creep and protect project profitability.
  • Review and approve vendor proposals, invoices, and project-related costs to ensure alignment with approved scope, pricing, and contractual requirements.
  • Ensure compliance with client, building, regulatory, and safety requirements, including operational procedures, insurance requirements, and risk management standards.
  • Participate in client meetings, internal planning meetings, and project status reviews while maintaining accurate and timely project reporting related to schedule, cost, risk, and performance.
  • Resolve project-related operational issues, vendor concerns, and client escalations in a timely and professional manner while protecting client relationships and company interests.
  • Lead project closeout activities including completion of documentation, financial reconciliation, invoice review, lessons learned, and final client deliverables.
  • Utilize project management systems and financial tools to maintain accurate project documentation, schedules, budgets, time tracking, expenses, and reporting.
  • Exercise independent judgment in operational and client-related decision-making, escalating significant financial, contractual, or business risks as appropriate.
  • Collaborate with Project Managers I, Coordinators, and internal support teams to provide guidance, knowledge sharing, and operational support as needed.
  • Perform other related essential duties assigned or requested.
  • Require Skills:

  • Ability to effectively communicate information both written and verbal while serving as the primary point of contact for clients, vendors, and internal teams.
  • Ability to independently manage multiple concurrent projects while balancing competing priorities, deadlines, and operational demands.
  • Strong project planning, scheduling, budgeting, and organizational skills.
  • Ability to lead cross-functional teams, manage vendor relationships, resolve conflicts, and drive accountability toward successful project completion.
  • Ability to identify project risks, evaluate operational impacts, and implement effective solutions in fast-paced project environments.
  • Working knowledge of project financial fundamentals including budgeting, forecasting, cost tracking, invoicing, and change management.
  • Ability to read and understand architectural drawings, furniture plans, specifications, schedules, and project-related documentation.
  • Knowledge of workplace services operations including relocations, furniture installations, decommissions, facility support services, and workplace logistics.
  • Ability to maintain professionalism and sound judgment in client-facing and operationally sensitive situations.
  • Ability to work well under pressure and adapt to changing project conditions and client requirements.
  • Intermediate proficiency with Microsoft Office Suite and project management software systems.
  • Availability to work and respond on evenings and weekends.
  • Qualifications and Skills:

    Education/Work Experience

  • Four-year degree from an accredited college or university preferred; equivalent combination of education and relevant professional experience may be considered.
  • Certifications such as CAPM or PMP are beneficial.
  • Skills

  • Minimum 5 years of relevant project management experience in workplace services, commercial relocations, facilities, construction coordination, or related industries.
  • Demonstrated experience managing multiple concurrent projects through full project lifecycle delivery.
  • Experience managing client relationships, vendor coordination, project financials, and operational execution.
  • Experience managing projects in occupied commercial, healthcare, laboratory, industrial, or operationally complex environments.
  • Experience overseeing vendor-led project execution and coordinating cross-functional project teams.
  • Experience supporting workplace relocations, furniture installations, renovations, or facility reconfigurations.
