About the Role

Lead Intake Specialist

The Lead Intake Specialist plays a vital role in supporting patient access to care by leading a team of Intake Specialists who are coordinating referrals, reviewing clinical documentation, and ensuring services are set up accurately and efficiently. You’ll work closely with a team of Specialists who are supporting patients, providers, referral sources, and internal teams to navigate insurance requirements, confirm eligibility, and move the intake process forward smoothly.

This role is ideal for someone who enjoys leading, detail oriented work, patient communication, and collaborating across teams in a fast paced healthcare environment.

Core Responsibilities

  • Supervise and provide guidance to team members in daily operations and complex case resolution
  • Lead team meetings and facilitate training sessions for staff development
  • Monitor team performance metrics and productivity standards, providing feedback and coaching as needed
  • Serve as primary escalation point for difficult customer issues and complex regulatory compliance questions
  • Develop and implement process improvements and workflow optimization strategies
  • Coordinate with management on staffing needs, scheduling, and resource allocation
  • Conduct new employee onboarding and ongoing training programs
  • Maintain advanced expertise in Medicare guidelines, payer policies, and regulatory changes to guide team decisions
  • Prepare reports and analysis on team performance, trends, and operational metrics for management review
  • Maintains patient confidentiality and functions within the guidelines of HIPAA.
  • Completes assigned compliance training and other education programs as required
  • Maintains compliance with AdaptHealth's Compliance Program
  • Performs other related duties as assigned

Why You’re the Best Fit

  • High School Diploma, Associate's degree in relatable field, Healthcare Administration, Business Administration or equivalent work experience required
  • One (1) year of relatable work experience required
  • Four (4) years of exact work experience required
  • Experience in management, administrative, clerical, insurance, billing, claims, call center, or customer service preferred but not required
  • Experience within a healthcare organization, pharmacy, HME, medical supply, or Medicare-certified environment is a plus but not required
  • Excellent verbal and written communication skills including analytical, problem-solving and decision-making abilities with attention to detail
  • Ability to multi-task in a fast paced environment
  • Proficient computer skills – Microsoft Office and healthcare systems are a plus
  • Comfort learning new technologies and navigating multiple systems
  • Ability to work independently while following established procedures and directives
