Job Summary:

The Cancer Center Practice Manager is responsible for the day-to-day operational, financial, quality, and personnel management of the oncology practice. In an integrated cancer program, this role serves as the operational leader, ensuring efficient, patient-centered, high-quality care while supporting strategic growth and regulatory compliance.

Education:

Bachelor's Degree required. Some undergraduate or certificate-level coursework preferably in health or business administration-related field, or Master’s degree in related fields preferred.

Registration/Certification/Licensure:
-
Unexpired, unsuspended driver’s license required if incumbent will be required to drive as part of their routine job duties.

Experience:
-
Requires a minimum of 3 years of customer service, administrative, or clinical support and supervisory experience, preferably in ambulatory care, Surgery & Oncology, or physician practice settings. Supervisory experience may include official or unofficial roles with exposure to management assignments where leadership skillset is evident.

Maintains unit-specific and hospital competencies, mandatory learning, and any clinical certifications required in accordance with the Staff Education and Training policy GA-057 and/or any other department requirements.

Key Responsibilities
- Operations Management
- Oversee daily clinic operations across medical oncology, hematology, infusion, and supportive care services.
- Ensure efficient patient flow, scheduling, registration, and coordination of care.
- Monitor clinic productivity, capacity, and access metrics.
- Implement operational improvements to reduce wait times and enhance patient experience.
- Coordinate with hospital departments, including pharmacy, laboratory, imaging, and finance.
- Staff Leadership and Human Resources
- Directly supervise clinical and non-clinical staff.
- Recruit, onboard, orient, and retain qualified personnel.
- Conduct performance evaluations and coaching.
- Manage staffing schedules and productivity.
- Foster employee engagement and professional development.
- Support a culture of accountability, teamwork, and safety.
- Financial Management
- Develop and manage departmental budgets.
- Monitor revenue cycle performance, including:
- Charge capture
- Coding accuracy
- Prior authorizations
- Denial management
- Accounts receivable
- Analyze financial performance indicators.
- Identify opportunities for cost reduction and operational efficiency.
- Support implementation of biosimilars and other value-based initiatives.
- Quality and Regulatory Compliance
- Ensure compliance with:
- Commission on Cancer standards
- American Society of Clinical Oncology and Oncology Nursing Society guidelines and standards
- The Joint Commission standards
- Calvert Health policies and procedures
- Centers for Medicare & Medicaid Services requirements
- State and federal regulations
- Support quality improvement projects using PDCA or similar methodologies.
- Monitor quality and patient safety metrics and Safety Net requirements
- Participate in accreditation preparation and survey readiness.
- Oncology Program Development
- Support cancer program strategic planning.
- Evaluate opportunities for growth in oncology and hematology services.
- Assist with service line expansion and physician recruitment.
- Support implementation of new therapies, technologies, and care models.
- Collaborate with cancer committee leadership.
- Collaborate with Shared Governance Council.
- Patient Experience and Navigation
- Monitor, trend, and distribute patient satisfaction scores and feedback.
- Improve access to care and reduce barriers to treatment and follow-up care.
- Coordinate navigation, survivorship, and supportive care services.
- Ensure a patient-centered approach throughout the continuum of care.
- Data Analytics and Performance Monitoring
- Develop and maintain operational dashboards.
- Track key performance indicators (KPIs), such as:
- New patient volume
- Infusion chair utilization
- Provider productivity
- Treatment start times
- No-show rates and appropriate medical record documentation
- Financial performance
- Patient satisfaction
- Present reports to oncology executive leadership and cancer committees.
- Value-Based Care and Population Health
- Support oncology initiatives related to:
- Alternative payment models
- Value-based care
- Population health management
- Care coordination
- Monitor quality and cost performance metrics.
- Assist with payer contracting and performance reporting.
- Collaborate with the Finance team and Financial Navigator

Given CalvertHealth's focus on oncology growth, CoC accreditation, QOPI alignment, and preparation for the Maryland AHEAD model, the practice manager should also:
- Lead implementation of ASCO/ONS chemotherapy safety standards.
- Support CoC quality improvement initiatives and accreditation readiness.
- Drive biosimilar adoption strategies.
- Improve referral management from primary care and specialty providers.
- Optimize infusion center capacity and scheduling.
- Develop oncology operational dashboards for Cancer Committee review.
- Partner with finance and physician leadership to improve oncology service line profitability while maintaining quality outcomes.
- Support multidisciplinary cancer conference operations and follow-up.
