Essential Functions of the Position:
Position Summary:
The HR Coordinator position with the SPCA of Texas supports the full employee lifecycle with a primary focus on staff recruitment, employee onboarding and offboarding, HRIS & record management, and People & Culture engagement initiatives. Working as an integral operational hub within a collaborative department, this role provides hands-on recruitment support, delivers an engaging onboarding experience, facilitates smooth offboarding transitions, maintains flawless HRIS data integrity, coordinates service anniversary milestone programs, partners on internal career mobility and internship/externship strategies, and assists with internal communications and culture-building programs.
Essential Duties and Responsibilities:
Staff Recruitment, Internal Mobility & Talent Pipelines (35%)
- Recruit Staff to meet current organizational staffing needs identified by Human Resources.
- Partner with the Director of People & Culture to design, coordinate, and execute meaningful internship and externship programs that build strong talent pipelines for future leadership in animal welfare.
- Partner with the Director of People & Culture to support internal career mobility strategies, helping map clear career pathways, promote internal job opportunities, and facilitate internal progression for existing staff.
- Create, post, update, and coordinate job opportunities on networking, social media, and online recruiting sites.
- Assist in executing the organization’s DEI recruiting strategy by posting positions across diverse community job platforms, local educational institutions, and targeted professional networks.
- Screen applications, schedule multi-stage interviews, and maintain candidate tracking within the Applicant Tracking System (ATS).
- Generate, manage, and maintain recruitment partnerships with local colleges, trade programs, high schools, and community organizations.
- Represent Staff Recruiting at SPCA of Texas community and corporate events, job fairs, and networking opportunities.
- Process pre-employment background checks and reference verifications.
Onboarding, Lifecycle & Offboarding Experience (25%)
- Provide new staff, interns, and externs with excellent, high-touch onboarding and experience.
- Walk new staff through onboarding paperwork, statutory compliance forms (I-9s, tax forms).
- Serve as a central new staff liaison across departments through onboarding and first-week milestone completion.
- Coordinate pre-boarding logistics, including account provisioning, new hire gear, and initial workspace readiness.
- Coordinate complete offboarding logistics and exit administrative workflows, including processing system terminations in HRIS, tracking return equipment, distributing exit checklists to managers, and achieving employee personnel files.
- Assist with administering post-onboarding check-ins and exit surveys, logging turnover and internal mobility metrics for leadership review.
HRIS Management, Record Management & Operations Support (20%)
- Maintain high-quality, accurate employee data across all HRIS platforms (ADP, Workday, etc.).
- Process day-to-day employee status changes, salary updates, transfers, internal promotions, and data cleanup.
- Support accurate maintenance of personnel files, medical records, I-9 re-verifications, and confidential document retention guidelines.
- Assist Senior HR Generalist with initial intake tracking for Workers' Compensation incidents and OSHA log maintenance.
- Assist with system testing, routine reporting, and user support for employee self-service inquiries.
Internal Communications, Culture & Engagement (20%)
- Support internal communication efforts including employee newsletters, SharePoint updates, and People & Culture announcements.
- Maintain and update SharePoint sites, ensuring clear navigation, accurate documents, and accessible staff resources.
- Manage tracking, logistics, and distribution of employee service milestones, recognition awards, seasonal celebrations, and staff appreciation initiatives.
- Provide operational support for team-building activities and All-Hands meeting content.
- Assist the Director of People & Culture with learning administration and career development initiatives by scheduling training sessions, preparing materials, and tracking course completions in Purple University/LMS.
- Actively engage with staff to support cultural initiatives, employee feedback surveys, and proactive retention programs.
- Perform other duties as assigned.
Knowledge, Skill, and Abilities Needed to Perform the Essential Functions of This Position:
- Knowledge of basic staff sourcing, internship program logistics, internal mobility best practices, ATS platforms, and HR compliance standards.
- Proficiency in Microsoft 365, especially SharePoint, Outlook, Excel, Teams, Forms, and business-related social media.
- Exceptional interpersonal, written, and verbal communication skills.
- High attention to detail with strong organizational and multi-tasking abilities.
- Ability to handle confidential and sensitive information with absolute discretion.
- Ability to build effective, positive relationships across all levels of the organization and with educational partners.
Required Professional Licensing or Certifications:
- Bachelor’s degree in HR, Business Administration, or related field preferred; equivalent experience considered.
- 1–3 years of progressive experience in recruiting coordination, onboarding, or general HR operations.
- Experience with ADP, Workday, Paycom, or similar HRIS and applicant tracking systems required.
- Experience in a non-profit, animal welfare, or multi-site environment preferred.
- Valid Texas Driver's License.
Work Environment and Physical Demand:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to work occasional extended hours or weekends during peak recruiting cycles, job fairs, or special events.
- Ability to travel between SPCA of Texas locations and offsite recruitment/university events.
- The position holder must be able to regularly lift and/or move up to 30 pounds.
- While performing the duties of this job, this position may be exposed to animal odors or airborne particles.
- The noise level in the work environment is usually moderate.
- A typical workweek is Monday through Friday in a flexible, high-energy environment.
Monday through Friday from 8am to 5pm
