OVERVIEW:

As a Conference Services Manager, you will bring that philosophy to life by leading the planning and execution of group events from the moment they are turned over by Sales through the final farewell. You’ll serve as a trusted partner to our clients and a key connector across hotel teams, ensuring every detail—from guest rooms and meeting spaces to food and beverage and special requests—is thoughtfully planned and seamlessly delivered.

In this role, you’ll oversee event details and contractual commitments, prepare and distribute convention resumes and Banquet Event Orders (BEOs), coordinate closely with hotel departments, and accurately forecast group room and food and beverage revenues. ESSENTIAL FUNCTIONS:

  • Build and maintain strong, professional relationships with clients through timely, accurate, and proactive communication.
  • Anticipate client needs and proactively address requests, concerns, and expectations before and throughout their event.
  • Serve as the primary liaison between clients and hotel departments to ensure seamless communication and execution of events.
  • Communicate hotel policies, procedures, capabilities, and event details clearly with clients and internal teams.
  • Review and confirm all event details prior to arrival and throughout the event to ensure alignment with client expectations and Westin standards.
  • Conduct pre-event meetings with appropriate hotel departments to ensure teams are prepared and any potential issues are addressed in advance.
  • Maintain accurate, organized, and up-to-date client and event files.
  • Ensure contractual commitments and agreed-upon event details are accurately communicated and fulfilled.
  • Develop strong working relationships across departments to support a collaborative, service-focused environment.
  • Respond promptly and professionally to phone calls, emails, and other client communications.
  • Maintain thorough knowledge of the hotel’s layout, amenities, policies, procedures, and event capabilities.
  • Respond effectively to client concerns and work collaboratively with hotel leadership to resolve issues and deliver exceptional service.
  • Ensure all events meet established quality assurance and brand standards.

OTHER:

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled mandatory training sessions and meetings is required.
