We are seeking a highly organized and detail-oriented Customer Account Specialist to serve as a central point of coordination throughout the customer process.
WHAT YOU’LL BE DOING
The Customer Account Specialist owns customer milestones, item setup, quote accuracy, order execution, and shipment visibility from quote through delivery. This role serves as the central point of coordination across Sales, Product Development, Packaging, Purchasing, Finance, and Operations to ensure deadlines are met, data is accurate, and issues are resolved before they impact execution.
This position requires strong independent judgment and critical thinking. The Customer Account Specialist is expected to understand the purpose and downstream impact of their work, identify missing or inconsistent information, and take ownership of issues through resolution rather than simply completing assigned tasks.
Customer Milestone & Process Ownership
• Own and manage customer and internal milestones from quote through delivery
• Build and maintain milestone trackers to ensure visibility and accountability
• Validate that information, approvals, and requirements are complete before advancing to the next stage
• Ensure shared data is accurate and aligned across teams and systems
• Proactively identify risks, inconsistencies, or process gaps and drive solutions through resolution
Customer Setup, Quotes & Item Management
• Create and maintain accurate customer profiles, documentation, and item setup
• Prepare, issue, and validate customer quotes for accuracy, completeness, and approvals
• Manage quote and item information within customer portals and internal systems
• Ensure pricing, quantities, packaging, timing, and customer requirements are aligned across systems
• Identify and resolve discrepancies before they create downstream issues
• Coordinate Certificates of Insurance with Finance as required
Purchase Order & Production Coordination
• Initiate and manage customer commitments aligned with approved quotes and timelines
• Track and reconcile Purchase Orders against commitments and coordinate Vendor Purchase Orders with Purchasing
• Validate pricing, quantities, dates, items, packaging, and approvals before release to production
• Partner with Packaging and Product Development to confirm artwork, specifications, and customer requirements
• Monitor production timelines, inspections, and readiness while proactively addressing risks or delays
Logistics & Post-Delivery Support
• Track shipments through final delivery and maintain visibility of key milestones
• Validate shipping documentation for accuracy, compliance, and customer requirements
• Proactively address shipment risks, discrepancies, and potential delays
• Investigate issues, identify root causes, and coordinate corrective actions
• Partner with Finance to resolve chargebacks using documented milestone history
• Identify recurring issues and recommend process improvements

COMPENSATION
The Workhorse Group offers a competitive benefits and compensation package, with salary determined based on experience, qualifications, and work location. For roles performed in jurisdictions requiring pay transparency, the anticipated base salary range for this position is $45,000–$50,000.
