Job Description
Are you a highly organized professional who thrives on keeping projects, events, and teams running smoothly behind the scenes? Do you enjoy coordinating details, solving problems, and ensuring people have what they need to be successful?
IdeaTek is looking for a Marketing & Community Coordinator to support our Marketing and Community teams through a variety of administrative, logistical, and event coordination activities. In this role, you'll be the go-to person for ensuring community events, sponsorship initiatives, employee engagement activities, and marketing campaigns have the supplies, support, and coordination they need to succeed.
This is an ideal opportunity for someone who enjoys variety in their work, thrives in a fast-paced environment, and takes pride in keeping people, projects, and materials organized.
This position is a hybrid opportunity, working from both our Buhler and Wichita offices, with occasional remote work and travel to events and other work locations as needed. Candidates should expect to work on-site a minimum of 2–3 days per week and occasionally support evening or weekend events.
A Day in the Life
You'll start your day reviewing event timelines, sponsorship requests, supply inventories, and marketing material needs. One morning may be spent coordinating logistics for an upcoming community event, while the afternoon involves preparing marketing materials for field teams, scheduling meetings, or assisting with employee engagement activities.
No two days are exactly alike. You'll work closely with Marketing, Community Relations, and other departments to ensure projects move forward, materials arrive on time, events run smoothly, and employees feel supported. Throughout it all, you'll serve as a key connector between teams, helping to turn ideas into action.
What You'll Do
Key responsibilities include:
- Coordinate logistics for community events, parades, information meetings, celebrations, and sponsorship activities
- Organize event materials including promotional items, branded apparel, banners, giveaways, tablecloths, and other event supplies
- Support event planning activities including volunteer coordination, event communication, preparation meetings, logistics management, and post-event debriefs
- Manage incoming donation and sponsorship requests, including evaluation support, form submission, tracking, and follow-up
- Coordinate the preparation, packaging, shipping, and delivery of marketing materials to field teams and remote employees
- Manage marketing-related mail, including prizes, awards, employee appreciation items, and promotional materials
- Maintain inventory and organization of marketing materials, brochures, flyers, apparel, and promotional items
- Keep sales and marketing inventory areas organized, stocked, and readily accessible
- Support scheduling, meeting coordination, presentation preparation, and administrative correspondence
- Assist with employee engagement initiatives, internal events, and company culture activities
- Capture, organize, and report event participation statistics and community engagement data
- Serve as a liaison between the Community Relations and Marketing teams to ensure alignment and communication
- Coordinate print orders and vendor relationships, including tracking budgets, delivery timelines, and material distribution
- Provide backup support for office operations, including mail handling and ordering office snacks and beverages
- Assist with process improvements that increase efficiency, organization, and overall team effectiveness
