ORGANIZATION SUMMARY
World Relief is a global Christian humanitarian organization whose mission is to boldly engage the worlds greatest crises in partnership with the church. POSITION SUMMARY:
World Relief seeks an Intake & Front Desk Coordinator to serve as the first point of contact for immigrants and refugees seeking services. This role combines front office coordination with client intake and case management responsibilities, ensuring clients are welcomed, assessed, and connected to appropriate services within the organization and the broader community. This is a part-time position that shares front desk responsibilities at the DuPage office with another staff member and typically provides front desk coverage one day per week. The role also carries a part-time-appropriate intake caseload, ensuring a balanced workload while maintaining high-quality client support and service delivery.
This is a part-time position for 20 hours per week, Monday, Tuesday, and Friday.
ROLE & RESPONSIBILITIES:
Front Desk & Office Administration
  • Greet and assist all clients in person and by phone, answering questions and directing them to appropriate staff or services.
  • Facilitate intake scheduling and manage a shared office calendar, ensuring efficient appointment coordination.
  • Maintain proper office opening and closing procedures.
  • Coordinate incoming and outgoing communications, including mail and fax distribution.
  • Provide English interpretation and translation as needed.
  • Organize and maintain front office areas, including donation storage spaces.
  • Train, supervise, and support interns or volunteers assisting with front desk duties.
  • Collaborate closely with the Immigrant Legal Services Administrative Assistant and other team members.
  • Provide backup coverage for front desk operations when needed.
Client Intake & Case Management
  • Conduct initial client intake by collecting demographic information, documentation, and assessing eligibility for services.
  • Provide an overview of available programs and support clients in enrolling based on their needs.
  • Schedule initial appointments with appropriate staff and follow up to ensure successful client connection.
  • Document all client interactions through accurate and timely case notes and file maintenance.
  • Make internal referrals to programs including case management, employment services, children & youth services, mental health counseling, ESL and Immigration Legal Services.
  • Support clients with employment-related needs such as job searching and applications.
  • Connect clients to external community organizations for services not offered in-house.
  • Maintain and update a resource library of community partners and providers.
  • Follow up on referrals to ensure clients successfully access recommended services.
  • Build and maintain relationships with community agencies through outreach and meetings.
  • Provide immediate assistance for urgent client needs and follow up as needed.
  • Assist eligible clients with applications for government benefits.
  • Support interpreter coordination, including tracking and submitting invoices.
  • Participate in departmental meetings, staff trainings, and organizational activities.
  • Attend community meetings and events to strengthen partnerships.
  • Support operations at off-site locations as required.
  • Participate in monthly Operations Team meetings.
  • Maintain accurate reporting records and ensure compliance with program requirements.
  • Complete additional tasks and projects as assigned and other tasks.
JOB REQUIREMENTS:
  • Mature and personal Christian faith
  • Committed to the mission, vision, and values of World Relief
  • Desire to serve and empower the Church to impact vulnerable communities
  • Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Association of Evangelicals' For the Health of The Nation document
  • Cross-cultural experience required.
  • Fluency in one of the languages clients speak such as French, Arabic, Spanish, Ukrainian, Russian, Swahili, Lingala, Farsi, Dari, Pashto, Assyrian, or Rohingya is required.
  • MS Office skills required.
  • Valid driver’s license and a good driving record.
PREFERRED QUALIFICATIONS:
  • Detail-oriented, organized, and able to follow-through on projects and assignments.
  • Strong organizational skills and ability to maintain detailed, accurate records.
  • Highly self-motivated with good follow-through and problem-solving skills.
  • Knowledge of or willingness to learn different immigration statuses and subsequent benefits eligibility.
  • Ability to networking and establish relationships for the purpose of developing referral contacts.
  • Strong interpersonal communication and conflict resolution skills.
