Position Summary

The Parts/Service Specialist is a vital support role that bridges the Parts, Service, and Office departments. In this position, you'll assist with parts and service requests, identify new business opportunities, manage inventory, and facilitate smooth communication across teams. A key part of the role is understanding customer needs, clearly conveying requirements, and confirming timelines to ensure everything runs smoothly. Success in this role relies on the ability to quickly absorb and retain product-specific knowledge, making adaptability and a proactive attitude essential.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Handle incoming calls, walk-ins, and fulfill verbal/written parts requests
  • Perform detailed data entry, maintain organized records, and update databases
  • Track, document, and verify Parts, Service, and Warranty transactions
  • Translate repair requests into standard terminology and prep service tickets for invoicing
  • Accurately calculate pricing details like discounts, margins, and markups
  • Manage inventory control, shipping/receiving, and POS area cleanliness
  • Analyze customer needs, schedule services, and coordinate dispatch
  • Attend planning meetings and review paperwork beforehand
  • Communicate effectively with coworkers, customers, and vendors
  • Handle special projects and apply problem-solving, critical thinking, and decision-making skills
  • Other duties as assigned
Requirements:

Minimum Qualifications

  • Proficient with Microsoft Office Suite: Excel, Word, and Outlook
  • Strong creative problem-solving skills with sound judgment aligned to company standards
  • High attention to detail with a focus on accuracy
  • Reliable and results-oriented, with strong organizational and time management skills
  • Bright, energetic professional with excellent interpersonal skills and integrity
  • Excellent communicator with clear verbal, written, and phone communication abilities
  • Solid geographical knowledge
  • Self-starter who thrives both independently and as part of a team in a fast-paced environment
  • Project coordination experience is a plus
  • Sage Software experience is a plus
  • Forklift experience is a plus
