Job Description
Position: Passport Agent Apprentice
Department: Administration
Salary: Non-Exempt; $21
Assists Lead Agent with the entire passport process. From answering phone calls, scheduling appointments, taking photos, and reviewing applications for compliance. This position requires fluency in Spanish and English.
Essential Functions
• Provide customer service both over the counter and phone.
• Reviewing applicant information to ensure that it is complete and accurate.
• Processing passport applications by collecting application forms, fees, and supporting documents
from applicants.
• Take passport photos.
• Examining passport applications, determining entitlement based on established criteria, and reviewing applications for accuracy.
• Assisting the public with the passport application process.
• Providing a broad variety of clerical, secretarial, and administrative support duties.
• Performing related duties as assigned.
• Performs other duties as assigned.
Required Knowledge, Skills and Abilities:
• Skilled in the use of personal computer systems and various application programs.
• Ability to interpret and apply laws, ordinances, policies, and procedures.
• Ability to express oral and written ideas and information clearly and concisely.
• Ability to handle and maintain confidentiality of information.
• Exceptional ability to establish and maintain effective working relationships with staff and the public.
• Bilingual Required.
Education and/or Experience:
• No experience necessary.
• Passport certification upon 9 months of hire date.

Supervision Received:
- Works under the direct supervision of the Town Clerk.
Essential Duties and Responsibilities:
- Part Time, flexible schedule.
- Bilingual Required.
- Provide customer service both over the counter and phone.
- Reviewing applicant information to ensure that it is complete and accurate.
- Processing passport applications by collecting application forms, fees, and supporting documents from applicants.
- Take passport photos.
- Examining passport applications, determining entitlement based on established criteria, and reviewing applications for accuracy.
- Assisting the public with the passport application process.
- Providing a broad variety of clerical, secretarial, and administrative support duties.
- Performing related duties as assigned.
- Provide court translation assistance on the third Tuesday of each month.
- Manage Sign Up Genius interface for appointment scheduling.
- Acting liason between Town of Gypsum passport office and the regional passport manager.
Education and/or Experience:
- Passport certification upon 3 months of hire date.
Work Environment:
- Physical Demands: Sedentary physical work requiring ability to lift a maximum of 40 pounds; occasional lifting, carrying, walking, and standing; vision for reading and interpreting reports and documents; hand/eye coordination for operation of computer; frequent speech communication and hearing to maintain communication with employees and citizens.
- Must successfully pass a criminal background check and pre-employment drug screen.
