Position Summary
We are seeking a Clerical Lead who oversees daily front-office operations while supporting patient access and administrative workflows. This role serves as the primary resource for clerical staff, ensuring efficient operations, strong team performance, and an excellent patient experience.
Responsibilities
Leadership & Operations
- Act as the primary point of contact for clerical staff
- Lead huddles to review priorities, workflows, and issues
- Provide coaching, feedback, and staff training
- Assign daily tasks and manage work queues (phones, referrals, scheduling, eFax, etc.)
- Cross-train and provide coverage across clerical functions as needed
- Coordinate staffing schedules with the Regional Clinical Manager/Associate Administrator
- Communicate performance, training, and staffing needs; escalate concerns as appropriate
Administrative & Clerical Support
- Reconcile daily deposits and prepare funds per policy
- Manage provider schedule blocks/overrides with appropriate approval
- Greet and assist patients and visitors professionally
- Maintain accurate patient records, including insurance and billing information
- Schedule appointments and verify insurance coverage
- Answer and route calls, manage messages, and handle inquiries promptly
- Collect co-pays and ensure front-office areas remain clean and organized
Patient Experience
- Deliver responsive, service-focused support to patients and internal teams
- Collaborate to ensure smooth patient flow and efficient operations
- Maintain HIPAA compliance and confidentiality
- Promote a professional, positive team environment
Qualifications
Education
- High school diploma or GED required
Experience & Skills
- Prior medical office or healthcare experience preferred
- Strong communication and interpersonal skills
- Proficiency with EMR systems and general computer applications
- Knowledge of medical terminology, insurance processes, and HIPAA
- Ability to multitask, prioritize, and manage time effectively
- Experience handling phone calls and triaging inquiries
- Patient-focused, detail-oriented, and team-driven
Physical Requirements
- Prolonged sitting/standing; occasional bending and reaching
- Ability to lift up to 20 pounds occasionally
